Event Registration & Attendee Policy
1. Introduction
The Alpha Phi Omega Administrative Region of the Pacific (APO ARP) consists of eight chartered Alpha Phi Omega Alumni Associatio and two petitioning alumni association from Oceana Region which are sanctioned by the Alpha Phi Omega National Office of the Philippines. The regional conference and election of officers takes place every two years and is hosted by one of the APO Alumni Association charter members in the APO ARP.
The Alpha Phi Omega South Island Alumni Association Inc. is hosting the 4th Regional Conference of the APO Administrative Region of the Pacific (ARP) which takes place in Living Springs Camp and Conference Centre, Lyttelton, Christchurch New Zealand on October 23 to 25, 2026.
2. Purpose
The purpose of this Policy is to outline the event registration and attendee terms and conditions for the 4th Regional Conference and Election of Officers to held on 23 - 25 October, 2026 in Lyttelton NZ. The Policy applies to face-to-face friendship games, fellowship, plenary conference and outdoor activities hosted by APOSIAANZI, in conjunction with the booking terms and conditions of the venues where the 3-day activity will be held.
3. Scope
This Policy governs each person who has either registered or enrolled to attend or participate in this event; and to APOSIAANZI Members hosting the event.
4. Policy Statements
4.1. Registration and Payment
All registrations for the APO ARP 4th Regional Conference and Election of Officers must be accompanied by full payment. Payment is to be made at the time of registration through Trybooking. There will be three registration periods: Early bird (January to March), regular registration (April to July) and late registration (August until 5th of September 2026).
All registrations are non-refundable regardless of any reason as per the venues’ cancellation policy.
4.2 Event Changes
APOSIAANZI reserves the right at any time to:
● Change the format, presenters, content, location and timing or any other aspect of the event.
● Postpone activities or any part of the event.
● Cancel the event or any part and will not be liable to you for any damages, costs, losses or expenses incurred.
● The event’s content and program are accurate as at the time of printing. APOSIAANZI may make changes to an activity as required, however will use reasonable efforts to provide a program and content of equivalent standard.
● Event content is obtained from sources believed to be reputable and reliable. Participants are expected to exercise their own judgement as to the suitability and applicability of information provided during the event.
4.3 Attendee’s Rights and Obligations
By registering, an Attendee’s warrants that their details as provided are true and correct.
Attendees must comply with any particular conditions, rules, regulations or usage requirements of the venues in connection with the event.
Attendees must also comply with all verbal and written directions given by APOSIAANZI Event Committee or the Venue whilst at, entering, or departing the Venue (including compliance with noise levels and other venue restrictions). Attendees are expected to behave in a professional and appropriate manner in the duration of the event.
Video and / or audio recordings of any event sessions or materials are permitted as long as it does not show venue staff members and other stakeholders at the venue.
Attendees should not attend the event when unwell with a potentially contagious illness.
APOSIAANZI reserves the right to refuse entry or eject any attendees who do not fulfil these obligations.
Refunds will not be granted if you fail to attend or where a substitute is refused entry.
4.4 Risk Management
Attendees are responsible for their own wellbeing and for the wellbeing of others.
It is the Attendees responsibility to inform APOSIAANZI of any special dietary or other requirements they may have, sufficiently in advance to enable the venue to attempt to accommodate these requirements (or where this is not possible, inform them of such).
Attendees use the venue and all associated facilities at their own risk. APOSIAANZI accepts no liability for any injury or loss of or damage to any equipment, materials or other belongings brought to the venue, whether by fire, theft, accident or otherwise.
4.5 General
APOSIAANZI reserves the right to amend this policy from time to time. Unless notified, the terms governing attendance at the event will be those in force at the time of registration for the event.
4.6 Privacy
Protecting privacy and personal information is an important aspect of the way APOSIAANZI conducts its activities, online and offline.
Attendees acknowledge they may be filmed, recorded and/or photographed by APOSIAANZI, the media or any other party at the event and consent to APOSIAANZI using the film, sound and/or photograph for APOSIAANZI editorial, promotion, publicity and advertising purposes.
By submitting a registration form, attendees consent to APOSIAANZI collecting and using their personal information to administer the event.
In all other aspects, APOSIAANZI will collect, use and disclose personal information provided in accordance with its Privacy Policy.
