Workshop 4: Registration, Information & Communications

Neuroinclusive event design begins long before someone walks through the venue doors.

From the moment an attendee discovers your event, they're processing information, making decisions and trying to understand what to expect. Complicated registration forms, unclear instructions, information overload, last-minute changes and unanswered questions can all increase cognitive load and anxiety before the event has even started.

Good communication can do the opposite.

In this practical workshop, we'll explore how registration, pre-event information and attendee communications can create greater predictability, reduce uncertainty and help people arrive feeling informed, prepared and confident.

We'll look at the entire pre-event journey through a neuroinclusive lens — from booking and registration through to joining instructions, accessibility information and those final communications before someone arrives.

During this workshop we'll explore:

✅ Designing simpler, more accessible registration journeys

✅ Asking about accessibility and support requirements appropriately

✅ Reducing unnecessary questions, decisions and cognitive load

✅ Creating clear and easy-to-navigate event information

✅ What attendees really need to know before they arrive

✅ Using plain language, structure and visual information effectively

✅ Making accessibility information easy to find — rather than making people search for it

✅ Communicating sensory information and what attendees can expect from the environment

✅ Managing programme, venue or timetable changes clearly

✅ Providing different ways for attendees to ask questions or request support

✅ Why predictability can be one of your most powerful neuroinclusive tools

✅ Practical low-cost and no-cost improvements you can make immediately

You'll leave with:

• A better understanding of the pre-event experience through a neuroinclusive lens

• Practical ways to reduce uncertainty and cognitive load

• Ideas for improving registration forms and attendee communications

• A framework for reviewing your existing joining information

• Greater confidence communicating accessibility and sensory information

• Clear actions you can implement before your next event

This session is grounded in lived experience and real-world event delivery, recognising that accessibility isn't simply about what we provide once somebody arrives.

Sometimes one of the most effective accessibility adjustments we can make is simply helping someone know what's going to happen before it happens.

Because when people know what to expect, they can spend less energy preparing for the unknown, and more energy participating in the event.
