Dollar Academy - Sports Camps 2026 Terms & Conditions
Booking a course
Please choose the camp(s) you would like to book and fill out the online registration form. You will receive an automatic acknowledgement email once the payment is confirmed. You will also receive joining instructions one week before the start of the course. Please note, that when booking a place on our camps you will be redirected from the Dollar Academy school website to Trybooking, an external web page.
Confirmation and payment
Bookings and payment must be made by persons over 18 years of age. Payment can only be made via credit card or debit card. Your booking will be confirmed after we have received full payment.
General
In the unlikely event that an aspect of the camp does not meet your expectations, please contact Mr Don Caskie Caskie-d@dollaracademy.org.uk in order that we can address the issue while your child is still on the camp.
On receipt of full payment, joining instructions will be sent to you before the camp commences. Depending on the course, a kit list may be issued. Please read this information carefully as it is your responsibility to ensure your child is suitably equipped.
By proceeding with your booking, you confirm that you have read and accept these terms and conditions and information.
Health & Welfare
The safety, security and wellbeing of all participants is of paramount importance. Dollar Academy is committed to safeguarding and promoting the welfare of young people. The school complies with the National Guidance for Child Protection in Scotland 2021 - updated 2023 and the Protection of Vulnerable Groups (PVG) Act 2007. All staff working in schools are required to be members of the PVG Scheme, which checks their suitability to work with children and provides continuous monitoring.
It is mandatory for you to provide medical information for your child at the time of booking through the online registration form. Please contact holidaycamps@dollaracademy.org.uk if your child suffers from asthma or hay fever, has any known allergies, has any other medical conditions or behavioural issues or if they are taking any medication. Please also inform us if your child has any dietary requirements.
You agree that ALL medicine your child brings to the camp must be given to a member of camp staff upon your child’s arrival. Such medication shall be properly stored and administered by the designated staff member who is qualified to administer medication. Children are not permitted to self-medicate.
If your child’s medical details change in the period between booking and the camp finishing, please contact holidaycamps@dollaracademy.org.uk as soon as possible so that your child’s medical records can be updated. Please be aware that the school will not hold your child’s medical information after the camp is completed. If your child is undertaking multiple camps, their medical information will be removed from the school’s database and paper copies destroyed upon completion of the last camp.
In case of illness or injury, your child will see a designated staff member who will assess their condition. In cases of minor illness such as a cold, headache or sore throat, the designated staff member may issue common, non-prescribed medicines such as Paracetamol, throat lozenges or cough syrup. Only qualified nurses or First Aiders may practice First Aid. If necessary, an appointment will be made with a local GP.
In the event your child suffers from vomiting or diarrhoea they will not be permitted to attend until a period of 48 hours after the last bout of illness.
If your child requires urgent medical attention, camp staff will take them to the nearest local hospital for immediate care or, if necessary, will telephone for an ambulance.
Emergency medical treatment: You authorise the Camp Director to consent on their behalf to your child receiving emergency medical treatment including blood transfusions, general anaesthetic and operations where certified by an appropriately qualified person as necessary for your child’s welfare and if you cannot be contacted in time.
Children from non-EU countries are required to pay a fee to see a doctor. You agree that such fees will be paid as required by you or reimbursed in full to Dollar Academy.
If your child needs to see an emergency dentist you agree that any fees for this will be paid as required by you or reimbursed in full to Dollar Academy.
If your child needs to be issued with a Medical Certificate following a visit to a doctor or hospital you agree to pay the relevant fee in advance.
Cancellation
If you wish to cancel your camp booking you must inform us of your cancellation by email immediately. Cancellations are subject to the following charges:
Over 42 days before start date = Full refund less £25 administration fee
30 - 42 days = 30% of total cost
15 - 29 days = 50% of total cost
1 - 14 days = 75% of total cost
On or after start date = 100% of total cost
Refunds can only be made to the card used when booking, should the card have expired between booking and the camp start date please contact holidaycamps@dollaracademy.org.uk so that an alternative refund can be made.
If you decide to withdraw your child from the camp, or if your child withdraws themselves during the camp, they may do so on the understanding that no refund of fees paid will be made, save in exceptional circumstances.
Negligence
Dollar Academy accepts responsibility for those elements of the camp under our direct control if caused by proven negligence of the company or its employees. Dollar Academy cannot accept responsibility for the loss of enjoyment due to the following factors: bad weather, loss or damage to personal property, personal injury or illness suffered whilst on the camp, and negligence of any sub-contractors.
Programme changes
Dollar Academy will make every effort to adhere to the outlined programme however we reserve the right to alter or cancel any camps or other arrangements under our control due to insufficient numbers or extreme circumstances.
Insurance & Personal Possessions
Dollar Academy does not accept responsibility for any claims arising from a child or third party. You agree to arrange comprehensive travel, personal effects and accident insurance for your child prior to their arrival at the camp.
You understand and agree that your child is responsible for the security and safe use of all their possessions while on the camp. Lockable storage is provided by the camp. We strongly suggest that valuable items are left at home.
On arrival at the camp, your child shall hand in their passport and travel tickets to the camp staff for safekeeping (if applicable).
Damage
Any damage caused by your child to camp property or equipment or the personal property of another child will incur a charge payable by the you.
Travel Arrangements
You agree to provide written confirmation of your child’s travel details, and any subsequent changes to those details. Every effort is made to keep waiting times to a minimum.
You understand and agree that there will be an additional fee for airport transfers from Edinburgh or Glasgow International Airports for flights between 10.00 and 18.00 on the first and 09.00 and 17.00 on the last date of the camp. This fee will be notified to you at least 2 weeks before the camp starts. You also understand and agree that transfers from the airport to the camp are usually organised in groups and this means that some children will be required to wait at the airport for other children arriving on different flights.
Unexpected and unavoidable delays and complications sometimes occur. The camp does not accept responsibility for any loss or expense due to delays or changes in public transport beyond its control.
You and/or your child is liable for any excess baggage and Unaccompanied Minor charges.
Visas and ETA’s
You understand that in cases where your child is required to obtain a visa to study in the UK, a Visa Invitation Letter will be provided by the camp. You understand that visas must be applied for immediately upon receipt of the Invitation Letter (but you can only apply for the visa 3 months before the intended date of travel) and that it is your responsibility to allow enough time when applying for the appropriate study visa. In the unlikely event that a visa application is refused, the camp agrees to refund the full fees paid (less a £25 admin charge to cover reasonable expenses incurred by the camp) upon receipt of a copy of the original documentation issued by the Entry Clearance Officer.
We recommend obtaining legal advice on the visitor’s visa application and supporting documents.
Electronic Travel Authorisations (ETAs) are being introduced worldwide for visitors to the UK who do not currently need a visa for short stays, or who do not already have a UK immigration status. You understand it is your responsibility to apply for an ETA, if necessary, for your child to attend the camp. An ETA is a digital permission to travel. It is not a visa and does not permit entry into the UK. It authorises a person to travel to the UK. Further information is available at Apply for an electronic travel authorisation (ETA) - GOV.UK
Camp Code of Conduct
You understand and agree that if your child does not follow the school rules as set out in the Information for Pupils and Parents booklet and Behaviour and Discipline Policy on the Dollar Academy website, the camp reserves the right to discipline your child. The Information for Pupils and Parents booklet and the Behaviour and Discipline Policy contain further details of the expectations for good behaviour and discipline. You understand and agree that in cases of serious misbehaviour or rudeness, you will be notified. For very serious incidents such as violent or abusive (either physically or verbally) behaviour or if a child breaks the UK law, then the child will be excluded from the camp immediately, according to the procedure contained in the Behaviour and Discipline Policy.
If a child has a medical or learning condition which was not declared on the registration form or medical form and which the camp does not feel they can adequately support, they may decide to send the child home at your expense.
Drug-taking or possession of drugs will result in instant dismissal from the camp.
All camp programmes are non-smoking and alcohol free, and the camp accepts bookings from you on the understanding that your child does not smoke or consume alcohol at any time whilst at the camp.
If camp staff suspect that your child has broken camp rules, your child may be questioned, and their accommodation or belongings may be searched in appropriate circumstances. All reasonable care will be taken to protect your child’s rights and freedoms and to ensure that you are informed as soon as reasonably practicable after it becomes clear that your child may face formal disciplinary action.
Information Technology
You understand and agree that if a child brings their own electronic equipment to the camp, they must use it in accordance with the Dollar Academy Mobile Phone Policy and the Dollar Mobile phones and devices belonging to children under the age of 15 are collected at 10pm and are not permitted during the camp unless specified by the camp staff.
You understand and agree that your child will be allowed access to the internet via the Dollar Academy network. You agree that your child will be required to comply with the Dollar Academy Conditions of Use of Computers at all times.
It is not permitted for camp participants and staff to be friends on any social networking sites.
Promotional Materials
You understand and agree that the camp and carefully selected third parties use photographs/video and images in promotional materials. If you do not wish for your child’s photograph or image to appear in such material, please inform the camp by emailing holidaycamps@dollaracademy.org.uk
You understand and agree that your child will be asked to fill out an end of course questionnaire at the end of their stay, and that reviews and comments given by your child may be used in promotional material. The completion of the end of course questionnaire is optional.
Accommodation
The camp reserves the right to organise the residential accommodation as it deems appropriate and taking account of the numbers, the ratio of girls and boys and available boarding accommodation. The rights and freedoms of individuals will be respected.
Data Protection
By agreeing to these Terms and Conditions, you authorise the camp to process personal information including financial and sensitive personal information as is deemed necessary for the legitimate purposes of the camp.
Dollar Academy will always keep personal detail of both you and your child safe and secure. Our privacy notices can be found on our website Data Protection Policy. If you any concerns about the data we hold or do not wish to receive any further communications from us, please contact Mrs V Mason at Dollar Academy.
Governing Law
These terms and conditions are governed by the laws of Scotland and the parties submit to the exclusive jurisdiction of the courts of Scotland.
TERMS AND CONDITIONS
This ticket was produced using the TryBooking UK Ltd website. All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the account holder known herein as the “Event Organiser” using the TryBooking UK Ltd website to manage this event and not that of TryBooking UK Ltd., its subsidiaries, affiliates, officers, agents, other partners and employees known herein as “TryBooking UK”. 1. TryBooking UK is not responsible for the Terms and Conditions or any other instructions or directives imposed by the Event Organiser. 2. TryBooking UK is not liable for any loss or damage arising from the purchase of this ticket. 3. TryBooking UK cannot exchange or refund this ticket. 4. The additional booking fee that may apply when purchasing tickets via the TryBooking UK Ltd website is not negotiable or refundable and can be subject to change at TryBooking UK's sole discretion. 5. A cancelled, postponed or altered event does not constitute an obligation by TryBooking UK to substitute, refund or provide other compensation monetary or otherwise. 6. Any dispute which may arise regarding the booking of this event or the way in which this event is conducted or the conditions in which this event is held is solely between the ticket holder and the Event Organiser and not a part of TryBooking UK's responsibilities.
