Roar on the Runway — Event Terms, Conditions & Release Form
By purchasing a ticket for Roar on the runway, you ("the Attendee") agree to the following terms, conditions, and liability waivers:
1. Safety, Conduct & Prohibited Items
The rally is located on an active, operational airfield. We kindly ask all visitors to exercise extra caution and remain aware of their surroundings at all times during the visit.
Follow all directional signage and comply immediately with any instructions given by event staff, airfield personnel, or marshals.
To ensure the safety, comfort, and security of all attendees, staff, and venue grounds, strict adherence to the following rules is required:
Fires & Open Flames:
Strictly Prohibited: Campfires, open fires, fire pits, and disposable BBQs are strictly forbidden anywhere on the event site (including campsite areas, parking, and common grounds).
Permitted Equipment: Camping stoves are only permitted in designated camping areas and must be elevated off the ground.
Smoking & Vaping:
Smoking and vaping are strictly prohibited inside all marquees, enclosed structures, trade areas, and fueling zones.
Smoking is permitted only in clearly marked designated smoking areas. Please dispose of cigarette butts safely in the bins provided.
Restricted & Prohibited Items/areas:
Balloons, Fireworks, flares, pyrotechnics, or Chinese lanterns. Illegal substances, psychoactive substances, or illicit drugs. Weapons, dangerous objects, or anything deemed hazardous by event marshals.
Drones are not permitted anywhere on site.
All banners and flags must be securely fastened at all times.
For your own safety and that of others, you must remain groundside (not on the airfield side of any barriers) at all times unless you have been specifically invited airside by an authorised representative.
Aircraft, support vehicles and operational equipment may move at any time without warning.
Please do not touch any of the aircraft; many are wood and fabric in their construction and all have fragile and dangerous areas.
Right of Refusal / Ejection:
The event organisers, marshalls, and security personnel reserve the right to search attendees and their belongings upon entry.
Non-compliance with site safety rules, anti-social behavior, or possession of prohibited items may result in immediate ejection from the event without refund.
2. Liability Release & Waiver
I/we agree that Leeds Harley Davidson (sponsoring dealership), AIRE VALLEY UK HOG Chapter, and their respective officers, directors, employees, marshals, volunteers, and agents (hereinafter, the "Released Parties") shall not be liable or responsible for:
Any injury to me/us (including severe injury, paralysis, or death); or
Any loss of, or damage to, my/our property occurring during Roar on the runway or related activities, resulting from acts or omissions during the performance of the duties of the Released Parties, even where the damage or injury is caused by negligence (excluding willful neglect).
3. Voluntary Participation & Assumption of Risk
I/we understand and agree that all Harley Owners Group (HOG) members, guests, and attendees participate voluntarily and entirely at their own risk in all event activities.
I/we explicitly assume all risks of injury, illness, loss, or property damage arising out of or connected with participation in the event and associated riding or chapter activities.
4. Agreement Not to Sue
I/we release and hold harmless the Released Parties from any liability, injury, claim, or loss to my person or property.
I/we explicitly agree not to initiate legal action, sue, or make a claim against the Released Parties for any injury or property damage arising from, or in connection with, the planning, sponsoring, marshaling, or execution of the event.
5. Refund & Cancellation Policy
Non-Refundable: Each ticket purchased and payment made is strictly non-refundable under any circumstances, including but not limited to non-attendance, weather conditions, or personal emergency.
Tickets are non-transferable unless formally approved in writing by the event organisers.
TERMS AND CONDITIONS
This ticket was produced using the TryBooking UK Ltd website. All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the account holder known herein as the “Event Organiser” using the TryBooking UK Ltd website to manage this event and not that of TryBooking UK Ltd., its subsidiaries, affiliates, officers, agents, other partners and employees known herein as “TryBooking UK”. 1. TryBooking UK is not responsible for the Terms and Conditions or any other instructions or directives imposed by the Event Organiser. 2. TryBooking UK is not liable for any loss or damage arising from the purchase of this ticket. 3. TryBooking UK cannot exchange or refund this ticket. 4. The additional booking fee that may apply when purchasing tickets via the TryBooking UK Ltd website is not negotiable or refundable and can be subject to change at TryBooking UK's sole discretion. 5. A cancelled, postponed or altered event does not constitute an obligation by TryBooking UK to substitute, refund or provide other compensation monetary or otherwise. 6. Any dispute which may arise regarding the booking of this event or the way in which this event is conducted or the conditions in which this event is held is solely between the ticket holder and the Event Organiser and not a part of TryBooking UK's responsibilities.
