Aviemore Santa Run Terms and Conditions
These Terms and Conditions govern participation in the Aviemore Santa Run ("the Run"), organised by Disability Snowsport UK ("the Organisers", "We", "Us").

1. General Definitions and Entry
The Run is a non-competitive fun event, open to all individuals who have completed an Entry, satisfied the Entry Requirements, and paid the Entry Fee.

The Run is not a race. Entrants may run or walk the Course, which is accessible to wheelchairs.

Entry is via Our official Try Booking registration platform. Group leaders accept these Terms on behalf of all members listed.

Entrants are encouraged, but not required, to raise funds for a Disability Snowsport UK, or of the charity partner you have purchased your ticket through.

2. Risk and Liability
Participation is at each Entrant’s own risk. By registering, you confirm you are medically fit to complete the Course.

While We conduct risk assessments and provide professional First Aid at the event, We cannot accept liability for injury, illness, loss, or damage unless caused by Our proven negligence.

Children under 16 must be accompanied by a responsible adult, who assumes responsibility for their behaviour and safety throughout the Run.

We reserve the right to refuse or revoke entry to anyone in breach of these Terms.

3. Entry Conditions
Only Entrants who register and pay via Try Booking page are eligible.

Entrants will receive important updates about the Run via email. By registering, you consent to receive these communications.

We comply with the Data Protection Act 1998. Personal data is used only for event administration, emergency contact, and promotion of future events. We will not share data with third parties.

Entrants under 16 (on 13 December 2025) must have their Entry completed by a parent/guardian.

On the day entries may be limited, and will be on a first come first serve basis.

4. Costumes and Event Details
General Sale Entrants will be offered:
- One-size Santa suits for over 14s
- *Smaller suits for 8–14s

Costumes are guaranteed only to Entrants who registered with a Full Ticket entry.

Limited quantities of costumes may be available to purchase on the day but are not guaranteed. They will be on a first come first serve basis.

Entrants are responsible for ensuring their costume is safe and comfortable to wear.

Well behaved dogs are welcome, but a Doggy Dash ticket must be purchased. All dogs must be kept on a lead, and any excrement MUST be picked up.

The run will last approximately one hour. Marshals and support services will be withdrawn thereafter.

Entrants following the full Course may receive sponsored gifts or 'goodies', while supplies last.

5. Refund Policy
Standard Policy: All Entry Fees are non-refundable.

Event Cancellation by Organisers: If the Run is cancelled due to reasons within Our control, We will offer:
- A refund of the Entry Fee minus the cost of any provided Costume(s), or
- Transfer to a rescheduled event, where possible.

Force Majeure: Refunds will not be issued if cancellation is caused by circumstances beyond Our control, such as:
- Severe weather, terrorism, natural disasters, or closure by Emergency Services.

No-Shows: Entrants who do not attend the event are not entitled to a refund.

6. Ticket Amendments
Entrants may request changes to their registration (e.g., name transfers) up to 7 days before the event.

All requests must be submitted in writing to: fundraising@disabilitysnowsport.org.uk.

Amendments may be subject to availability and a small admin fee (£5 per entrant/change).

After the cut-off date, no further changes can be made.


7. Publicity and Photography
By participating in the Run, Entrants (and their guardians if under 16) consent to photography and filming which may be used in promotional materials, including online, print, and media.

Entrants may withdraw this consent by contacting Us prior to the event.

All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the account holder known herein as the “Event Organiser” using the TryBooking UK Ltd website to manage this event and not that of TryBooking UK Ltd., its subsidiaries, affiliates, officers, agents, other partners and employees known herein as “TryBooking UK”. 1. TryBooking UK is not responsible for the Terms and Conditions or any other instructions or directives imposed by the Event Organiser. 2. TryBooking UK is not liable for any loss or damage arising from the purchase of this ticket. 3. TryBooking UK cannot exchange or refund this ticket. 4. The additional booking fee that may apply when purchasing tickets via the TryBooking UK Ltd website is not negotiable or refundable and can be subject to change at TryBooking UK's sole discretion. 5. A cancelled, postponed or altered event does not constitute an obligation by TryBooking UK to substitute, refund or provide other compensation monetary or otherwise. 6. Any dispute which may arise regarding the booking of this event or the way in which this event is conducted or the conditions in which this event is held is solely between the ticket holder and the Event Organiser and not a part of TryBooking UK's responsibilities.
