Terms and Conditions  −  The Cart Shed Plant Fair 2026

Terms and Conditions:

Please note, any reference to organisers refers to the event organisers working on behalf of The Cart Shed Charity.

Booking and Payment:
Payment must be made in full prior to the event. If you have any issues with the online booking system then please contact info@thecartshed.co.uk.

Bad weather:
All exhibitors will ensure that their stands, gazebos and displays are appropriate for the weather conditions.

Cancellation:
An exhibitor may cancel their booking and obtain a refund of 70% of the fee paid by emailing to info@thecartshed.co.uk. Notice must be received no less than 60 days prior to the event. After this date no refunds will be given.
In the event it is necessary to cancel the event for reasons beyond The Cart Shed’s control, including adverse weather conditions, The Cart Shed will give exhibitors as much notice as possible of any such cancellation and all but an administration fee of £15 of site fees will be returned. No compensation for loss of potential earnings, or other, will be paid.

Catering:
There will be catering at Garnons on the day of the fair. There will be free tea and coffee for stall holders.

Exhibitors:
Sub-letting of sites without the prior consent of The Cart Shed will not be permitted. Exhibitors agree to cooperate with event organisers and Security and Emergency services.

Exhibitors’ vehicles:
Exhibitors will be sent directions closer to the date of the event. For unloading purposes, a sign-posted system will be in place. All exhibitor vehicles must then be parked in a clearly signed designated parking area.
The loaded weight of Exhibitors’ vehicles will not exceed 3.5 tonnes. Any requirement for a larger vehicle will need to be agreed with event organisers at the time of booking and the event organisers reserve the right to refuse.

There will be two-time slots in the morning of Wednesday the 29th of April for unloading and setting up:
A) Between 07.30am and 08.30am
B) Between 08.30am and 09.30am

Event organisers and Garnons Estate Management will only permit exhibitors to unload and reload during the above times. There will be plenty of time allocated for unloading. Please await and follow instructions on the day.

Setting up and Equipment:
Exhibitors must provide their own equipment to transport goods from the unloading areas and/or parking area to the exhibition sites. Exhibitors are responsible for the unloading and loading of all their materials and goods. We will endeavour to get vans as close as possible to stalls for loading and unloading.
Stalls will be a minimum of 3m x 4m to a maximum for 5m x 5m. Exhibitors must provide their own tables/chairs/stands/gazebos.
No large posts or stakes may be driven into the ground for displays or for any other reason. Ground pegs for gazebos or small tents are acceptable. All gazebos/tents must be suitable for the weather conditions.
Exhibitors agree not to place merchandise beyond the boundaries of their site either on or above the ground unless previously agreed with the event organisers.
The name and telephone number of each exhibitor must be displayed prominently.

Dismantling:
Exhibitors agree not to dismantle their site or remove merchandise before 16.00hrs on 29th April 2026.
No camping or sleeping on the site is permitted overnight.

Publicity:
To improve the success of the event we would ask all exhibitors to help promote the event through social media, and on their own website if applicable, and any distributed material.
The Cart Shed undertakes to actively promote the event through: radio, local press and lifestyle magazines, parish magazines, posters, and social media.

Fire safety equipment:
All electrical equipment must be in good condition and have a current PAT certificate. All gas equipment must be covered by an up to date gas certificate issued by a regulated gas engineer (Gas Safety Registers). The certificates must be available for inspection by a Health and Safety officer.

Insurance:
Exhibitors must hold their own Public Liability Insurance, which must be in date at the time of the event. A copy of this must be shared with The Cart Shed prior to the event. Documents can be e-mailed to info@thecartshed.co.uk. Exhibitors must also have Product Liability and Employers Liability where appropriate.
The event organisers do not accept responsibility for the loss or damage to exhibitors’ property. The Cart Shed will only accept liability in respect of personal injury or damage to third party property as the result of its negligence.

Risk Assessment:
All exhibitors must have carried out a careful assessment of risks associated with their stall. A copy of this must be submitted to the event organisers prior to the event. A template can be provided if needed. Please e-mail info@thecartshed.co.uk.

Electrical supply:
Electricity will not be available. Generators used outdoors must comply with current regulations and their use is only permitted with the prior agreement of the event organisers.

Environmental Health:
Exhibitors are expected to comply fully with the relevant regulations in respect of Trading Standards, Health and Safety and Environmental Health of Herefordshire County Council. Exhibitors may be inspected during the event and those deemed not to comply with relevant regulations may be shut down.

Pets:
No pets apart from registered guide dogs will be permitted on the site or in the parking areas.

Trading Standards:
Trading Standards may visit the site over the course of the event to ensure traders comply with Weights and Measures legislation (which includes accurate and stamped scales and glasses), pricing and general Fair-Trade Legislation.

Water:
Water is available on site. Please ask organisers on the day. If you have any queries, please contact us before you submit your application.

Wi-Fi and mobile signal :
We will be making it clear on our publicity that people need to bring cash and cheques as the mobile signal for card machines cannot be depended on. We intend that WiFi will be available via 4G.

All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the account holder known herein as the “Event Organiser” using the TryBooking UK Ltd website to manage this event and not that of TryBooking UK Ltd., its subsidiaries, affiliates, officers, agents, other partners and employees known herein as “TryBooking UK”. 1. TryBooking UK is not responsible for the Terms and Conditions or any other instructions or directives imposed by the Event Organiser. 2. TryBooking UK is not liable for any loss or damage arising from the purchase of this ticket. 3. TryBooking UK cannot exchange or refund this ticket. 4. The additional booking fee that may apply when purchasing tickets via the TryBooking UK Ltd website is not negotiable or refundable and can be subject to change at TryBooking UK's sole discretion. 5. A cancelled, postponed or altered event does not constitute an obligation by TryBooking UK to substitute, refund or provide other compensation monetary or otherwise. 6. Any dispute which may arise regarding the booking of this event or the way in which this event is conducted or the conditions in which this event is held is solely between the ticket holder and the Event Organiser and not a part of TryBooking UK's responsibilities.
