1. Registration:
Please register your child with Scarlets Community Officers on arrival at the Rugby Ramp. We urge all participants to arrive for registration no earlier than 15 minutes prior to the scheduled start of the Rugby Camp and must have confirmation of booking with QR Code (Either paper copy or on smart phone)
2. Staffing:
The Rugby Camps will be staffed by WRU accredited coaches and the highest safety measures will be in place.
3. Refund/Cancellation Policy:
• Scarlets Rugby Camps are non-refundable.
• In the event that your child is ill and cannot make the session, please email a member of the community department as soon as possible.
4. Cancellation of a Rugby Camp:
At times, external factors such as adverse weather conditions, will dictate whether we can or cannot run a particular Rugby Camp. If we feel it is not possible to run a safe Rugby Camp, due to such conditions, we will contact you prior to the start time and offer a full refund or exchange onto another Rugby Camp (where possible).
5. Minimum Participants:
To run a successful Rugby Camp, our Scarlets coaching staff require a minimum number of 10 participants per age group. If the attendee numbers per age group are below 10, the children in this age group will not be able to attend – we will contact you at least three days prior to the Rugby Camp and provide a full refund.
6. Spectators:
Unfortunately we do not have a viewing facility at the Indoor barn for parents to stay for the duration of the day, so parents are encouraged to leave the children during the camp times. However we do appreciate that some children can get a little nervous when first arriving therefore parents can stay for a short period until they are settled. If you have any specific circumstances where you feel the need for 1 parent to stay and watch for the duration then please send an email to rugbycamps@scarlets.wales where we will look to do what we can to accommodate.
7. Refreshments:
Please provide your child with a packed lunch, and also ensure that you include a minimum of one additional drink, preferably in a plastic bottle.
8. Clothing:
Please bring the following appropriate items of clothing with you to the camp and ensure that any items of clothing are clearly marked or labelled with your child’s name, as we will not be responsible for any items of clothing that are left behind or lost during camps:
- Trainers
- Rugby Boots
- Shorts
- T-shirt
- Gumshield (U9s and above)
- Wet weather coat (only if outdoor)
- Baseball cap, long sleeve T-shirt and sun-block if the weather is warm or sunny (only if outdoor)
9. Behaviour Policy:
Scarlets Rugby Camps promote active fun in a safe environment. We reserve the right to remove any child that is seen to be causing disruption to the enjoyment of others. In the unfortunate event this occurs, the child will be placed under the supervision of Scarlets Rugby Camps Staff, while their parents/guardians are contacted, so the child can be collected.
10. Medication:
The camps will be staffed by a fully qualified First Aider. Please ensure that your child brings any medication with them that they may require for any illnesses or medical conditions (e.g. asthma, hay fever) and ensure these are written on the application form. Please ensure that any medication or asthma pumps are handed in at the time of registration and are clearly marked with your child’s name and address on them. If your child has been unwell prior to the camp or is unwell on the day of the camp please inform the staff at registration.
11. Photographer:
Photographs of the participants will be taken at the camps. These photos will be used for official Scarlets marketing use and on the official website and social media channels.
12. FREE ticket to Scarlets rugby match:
All children participating in a Scarlets Rugby Camp will be entitled to a FREE ticket to a Scarlets home GUINNESS PRO14 match of the 2019/2020 season, all you need to do is contact the Ticket Office on 01554 292939 or call in and quote/show your proof of camp space purchase. Any parents wishing to purchase tickets to accompany their child to this match at Parc y Scarlets will be eligible for discounted rates which the Ticket Office Staff will be able to confirm. Tickets can either be posted directly to you (small charge) or collected from the Scarlets Ticket Office.
13. Declaration:
Please be aware that by ticking on the application form that you have read and agreed to these Terms & Conditions, you agree that all participants registered by you:
a. May participate in the Rugby Camp; and
b. Are fit to participate in the activities to be undertaken.
