Year 6 Graduation Party

Year 6 students, it’s time to celebrate! Get ready for a special evening of music, dancing, food and fun with your friends as you celebrate finishing Junior School and the exciting next chapter ahead.

Both activity rooms at Gillieston Heights Community Hub have been reserved for the event.

Activity Room 1 will be the main student party area and will include the DJ, dancing, food, activities and other entertainment.

Activity Room 2 will be available as a designated area for parents and carers who have reserved a Supervising Parent Ticket and are staying to assist with supervision.

There is a public playground located next to the Community Hub; however, it is not part of the booked event area and event supervision will not be provided at the playground. Students must remain within the designated event areas.

Each student ticket includes:

• Entry to the graduation party

• Dinner, snacks and dessert

• Water & Juice

• DJ, music and dancing

• Activities and games

• Photobooth and photography

• Gift bag

Catering and refreshments will also be provided for registered supervising parents and invited teachers and staff.

Students are invited to wear smart-casual clothing. Please ensure that clothing and footwear are comfortable and suitable for dancing and participating in activities.

Students should also bring a plain white T-shirt (the one used for Grandparent's Day will be perfect) for their friends to sign during the evening.

We recommend bringing the T-shirt separately rather than wearing it so that party clothes are not accidentally marked.

Students must be signed in by a parent, carer or authorised adult upon arrival.

Please arrive from 6.00 pm. All students must be collected promptly at 8.45 pm.

Students will only be released to the parent, carer or authorised collection person nominated during booking. Please notify the organising committee before the event if these arrangements change.

Every attending student must have a valid Student Ticket.

A student’s place is confirmed only once the booking information and payment have been completed.

Student bookings close at 11.59 pm on Tuesday, 13 October 2026. Late bookings cannot be guaranteed, as final numbers are required for the venue, catering and event suppliers.

Parents and carers do not need to remain at the event unless they have volunteered to assist with supervision.

Parents and carers who intend to stay must reserve a $0 Supervising Parent Ticket. Please reserve one ticket for each attending adult so that we can manage venue capacity, catering and supervision numbers.

Attending parents and carers will have access to Activity Room 2 as their designated area and may also be asked to assist in allocated supervision areas during the event.

Catering and refreshments will be provided for parents and carers who have reserved a Supervising Parent Ticket. Please include any dietary requirements or allergies when completing the booking.

Adults may bring and responsibly consume alcohol at the venue, subject to the conditions of hire for Gillieston Heights Community Hub.

Please remember that this is primarily a children’s graduation celebration. Any alcohol consumption must be moderate, responsible and appropriate for a child-focused event.

Alcohol must not be supplied or made accessible to anyone under 18 years of age.

Parents and carers who have been allocated a formal supervision, first-aid, sign-in or sign-out role must remain fully capable of performing their responsibilities.

Teachers and staff are warmly invited to join us in celebrating the Year 6 students’ graduation. Attendance is completely optional, and there is no obligation or expectation for teachers or staff to attend. We completely understand that everyone has their own commitments outside school hours.

We would simply love to have you there if you are available and would enjoy celebrating this special occasion with the students.

Invited HVGS teachers and staff are warmly welcomed as complimentary guests and must reserve a $0 Teacher/Staff Guest Ticket. 

Teachers and staff are not expected to undertake formal supervision duties. Catering and refreshments will be provided for attending teachers and staff.

The Teacher/Staff Guest Ticket is reserved for invited HVGS teachers and staff only.

Students, supervising parents and invited teachers or staff will be asked to provide dietary requirements, allergies and relevant accessibility information during checkout.

Parents and carers will also be asked to provide any relevant medical or health information concerning their child.

Please provide complete and accurate information. Reasonable efforts will be made to accommodate disclosed dietary requirements; however, an allergen-free environment cannot be guaranteed.

The party will be supervised by responsible parent volunteers within the designated event areas.

The neighbouring public playground is not included in the supervised event area. Students must not leave the designated event areas to use the playground.

Students are expected to behave respectfully, remain within the designated event areas and follow reasonable directions throughout the evening.

Parents or carers may be contacted and asked to collect their child early if their behaviour becomes unsafe or significantly disruptive.

Please purchase carefully. Refunds will not be provided for change of mind, illness, personal circumstances or non-attendance because final numbers and payments are used to confirm the venue, catering, entertainment and other suppliers.

Any refund or remedy relating to the cancellation, postponement or significant alteration of the event will be handled in accordance with Australian Consumer Law.

Photographs may be taken by nominated event photographers and shared privately with participating students and their families.

Organisers will make reasonable efforts to ensure that students without photography consent are not included in posed or identifiable photographs. Any identifiable image of a student without consent will not knowingly be shared.

Parents and carers are asked not to photograph or share images of other students without permission.

This is a parent-organised event and is not operated, supervised or endorsed by Hunter Valley Grammar School unless expressly advised otherwise.
