TERMS AND CONDITIONS
**Event Experience & Weather Disclaimer**
Cosmic Adventure Night is an outdoor astronomy experience designed to showcase the wonders of the night sky. While we aim to provide a spectacular stargazing experience, the night sky is constantly changing and visibility is dependent on weather conditions and natural celestial events.
As this experience takes place during winter and in an outdoor environment, conditions may change rapidly. If cloud cover, weather conditions or other environmental factors are likely to obscure viewing opportunities, we reserve the right to modify the program. In these circumstances, additional presentations and activities focused on astronomy, the night sky and astrophotography may be provided in place of, or alongside, telescope viewing.
If conditions are unsuitable for outdoor stargazing, the event may be relocated to an alternative indoor venue in Heyfield where presentations, demonstrations and educational content will continue as planned. Participants will be notified on the afternoon of the event if any changes to the program or venue are required.
**Contingency Date**
A contingency date of **Saturday 18 July** has been scheduled in the event that weather conditions are unsuitable on **Friday 17 July**, but are forecast to be suitable on the contingency date.
Should the event need to be moved to the contingency date, participants will be notified as soon as practicable. By purchasing a ticket, participants acknowledge that the event may be rescheduled to the contingency date and are encouraged to keep both dates available.
**Astronomical Viewing Disclaimer**
The visibility of planets, nebulae, star clusters, galaxies and other celestial objects varies according to season, weather, time of night and astronomical conditions. Our facilitators from the Latrobe Valley Astronomical Society will endeavour to provide the best possible viewing experience and showcase the most suitable celestial objects available on the evening. However, participants acknowledge that the cosmos operates on its own schedule and that specific celestial objects cannot be guaranteed.
**Participant Safety & Personal Property**
As this event involves outdoor evening activities, participants are responsible for exercising reasonable care for their own safety, including being mindful of uneven ground, low light conditions and their surroundings at all times.
Participants are responsible for the security and safekeeping of their personal belongings. Event organisers accept no responsibility for any loss, theft or damage to personal property brought to the event.
**Cancellation & Refund Policy**
Participant cancellations must be made at least **48 hours prior to the scheduled event start time** to be eligible for a refund.
Cancellations received within 48 hours of the event, including non-attendance, are non-refundable.
The telescope-based stargazing component will only proceed when sky conditions are suitable for astronomical observation. If conditions are unsuitable for stargazing, the event will continue at an alternative venue with activities such as astronomy presentations, demonstrations, astrophotography content and other educational activities. The provision of these alternative activities does not constitute grounds for a refund.
Event organisers reserve the right to alter the event format, schedule, activities or venue where necessary due to weather conditions, safety considerations, operational requirements or other unforeseen circumstances beyond their reasonable control.
