2025 - TERMS AND CONDITIONS
It is the responsibility of all stallholders to read this document carefully before submitting an application as making a booking implies that you have read and accepted all the current terms and conditions.
General
1. Sunday 16th February 2025, markets will commence at 7:00 am to 12:00 pm, at the Chinchilla Polocrosse grounds, 115 Racecourse Road, Chinchilla Qld 4413.
2. All stallholders must maintain a high-quality presentation of products and stall layout.
Stalls and Allocation
3. Setting up of market stalls are not to commence until Sunday morning.
4. Stall spaces available are 5m x 5m (Regular) and 10m x 5m (Large).
5. Location requests will be met where possible, but suitability and stall allocation decisions rest solely with committee.
6. Fees will not be refunded for any cancellations.
7. Stallholders may not swap stall locations, or set up outside the designated stall area.
Power Requirements
8. While there are limited powered sites the demand for powered sites has grown and is recommended those requiring power bring their own generator to power the site.
• The generator noise must be kept to minimum.
Insurance
9. All stallholders must have current public liability insurance and supply a copy of their Certificate of Currency with their application.
Booking and Payments
10 Stallholders must book & pay thorough the Trybooking website.
11 Booking and paying online does not guarantee your spot until you have received notification from the Chinchilla Polocrosse Club. (The reason for this is that there are only limited sites available and we want to provide a good variety of trade sites).
12 Any person that has paid for a site and is then not accepted by the Chinchilla Polocrosse committee, will be provided with a full refund
Parking, Vehicles and Access
15. No vehicles will be allowed to remain at the market stall sites unless they are being used to sell goods out of.
16. Vehicles may enter the market site area to set up the stalls between the hours of 5 am—7.00 am. All vehicles to be removed from site by 7.00 am.
17. Stallholders must pack up their stall prior to leaving the site.
Marquees, Tables and Chairs
18. Stallholders are responsible for bringing and using their own marquees, tables, chairs etc and must be secured. There is limited shade at the site.
19. Stallholders are responsible to ensure that any structures does not compromise the safety of the public & must be secured.
Products
20. No offensive or dangerous items are to be sold or any items that can potentially cause injury including but not limited to Glass Bottles, knifes, shanghaies
21. Chinchilla Polocrosse Committee reserves the right to prohibit the sale of any item.
Waste & Rubbish Removal
22. Stallholders are responsible to remove all their own rubbish, boxes and unwanted goods from the market site. Skip bins will be provided.
Festival Staff/Volunteers
23. Chinchilla Polocrosse Club members will be on site and are identified by a Chinchilla Polocrosse shirt.

Weather
25. Chinchilla Melon Festival are all-weather markets, stallholder is responsible to provide own protection.
Map (Site Allocation)
26. A site map designating your site allocation will be issued approx 2 weeks prior to the event and will be forwarded by designated contact method on the application form.

Emergency Services
In the event of an emergency, please follow the instructions from the Qld Police and State Emergency Service.
28. Report all emergency incidents, no matter how small, to the Chinchilla Information Centre Information Booth.
