2025 Illawarra Careers Expo Terms and Conditions
This agreement is made between Illawarra Schools Workplace Learning Program ABN 23 139 481 124 (“Organiser”) and the person or organisation agreeing to sponsor and or exhibit (hereafter referred to a “Exhibitor”) at the 2025 Illawarra Schools Careers Expo (“Expo”).
The Exhibitor agrees to the following terms and conditions.
• Participation in the Expo by the Exhibitor is subject to:
a) the acceptance of the Exhibitor by the Organiser at its complete discretion; and
b) the Exhibitor completing the registration process, with acceptance confirmed in writing by the Organiser upon receipt of completed Booking Agreement and payment.
• The person who signs the booking agreement is permitted to sign on behalf of the exhibiting organisation. Should the contact person change prior to the event date, the exhibitor must notify the organiser. The exhibitor will still be responsible for the management of the stand and is liable for the expense of the stand. Change of Booking Contact person is not sufficient grounds to void this agreement
• Bookings will be via Trybooking, including payment, unless a special arrangement is made (ie Invoice). If the exhibitor fails to make full payment of the invoice within 14 days of the due date, the Organiser reserves the right to make the space available to other exhibitors. Special arrangements can be made by contacting the Event Coordinator
• The Exhibitor Fee does not include insurance, cleaning, loading, and handling of equipment, staff, telephones, exhibit dressing, advertising, or promotional material.
• The Exhibitor Manual will be distributed to Exhibitors at a later date. This Exhibitor Manual will contain information regarding the session times. Bump in can occur from the afternoon Monday 5th May 2025 or on the morning Tuesday 6th May 2025. Exhibitors should approximately plan for days beginning at 8:30am, with school arrivals from 9am, and then completing by 2:30pm. There will be a public session on Tuesday 6th May from 2:30pm – 4:30pm. Bump out will need to be completed on Wednesday 7th May.
• No refunds will be provided for cancellations after 1st April 2025 unless a vis majeure occurs.
• The Organisers reserve the right to amend the dates for holding The Expo. Organisers will not be responsible for any loss occasioned thereby. The Organisers also reserve the right to close The Expo or vary its hours.
• No exhibitor shall occupy stand space until all monies owing to Organisers have been paid in full.
• Bookings must be received, by 1st April 2025 for the Exhibitor to appear in the Illawarra Schools Information Booklet issued to all students attending the event. Bookings received after this date will still be for the full price, and the Exhibitor forfeits the right to be included in the Illawarra Schools Information Booklet.
• The Exhibitor agrees to staff and continually keep its stand open throughout the course of the Expo, including during the public session. The Exhibitor must not pack up their stand partially or totally before closing time on the last day of the Expo. Workplace Learning will endeavour to provide a break in student arrivals to allow for all Exhibitor Staff to take a lunch break.
• The Exhibitor must confine its activities to the space allocated to it by the Organiser.
• The Exhibitor is not permitted to remove the tables and materials provided (other than by agreement and approval with the Organiser). Agreement and approval must be received prior to the Event.
• If the Exhibitor is displaying products or any materials which are determined, at the Organiser’s discretion to be inappropriate, offensive, disparaging, or discriminatory the Exhibitor will be asked to remove these immediately. As this event is primarily attended by students and young people, no alcohol, cigarettes, vapes or gambling materials can be displayed, promoted or used in any way during the event.
• The Exhibitor is not permitted to distribute promotional material or promote its organisation anywhere other than from its own stand. Furniture and promotional material within the space should not interfere with other stands or the good order and safety of the event or other Exhibitors. Aisles and public spaces must be kept clear. The Organisers reserve the right to take appropriate action if this occurs.
• It is the Exhibitors responsibility to ensure that any items it brings to the Expo are not deemed hazardous and should consult the Organiser if there is any doubt. The liability for any damage caused to the venue or materials will fall wholly to the Exhibitor and no liability shall rest with the Organiser.
• The Exhibitor is responsible for the safety and security of their products and stand. Material on your stand should not be left unattended at any time during the Expo, including at bump in and bump out.
• The Organiser shall not be held liable for any loss, theft or damage to an Exhibitor’s materials. The Organiser assumes no responsibility for the safety of an Exhibitor’s materials.
• The Exhibitor indemnifies the Organiser and/or its agents against any claims or suits for loss, injury, or other damage to any person or thing arising from the exhibitor’s negligent acts or omissions.
• The Organisers shall not be responsible for any damages claimed by any person or persons who may be injured as a result of the exhibitors acts or omissions whilst in the area allotted to the Exhibitor and the Exhibitor agrees to indemnify the Organisers in the event of any claim being made against the Organisers.
• It is the responsibility of the Exhibitor to leave the stand space clean, tidy and in a safe state during the Expo and on bump out. The exhibitor will be liable for any damage to the venue.
• No stand may be sublet without the consent of the Organiser. It is strictly one exhibitor per stand booking. Exhibitors are not allowed to share one stand between them without the permission of Organisers.
• The Organisers reserve the right to determine, amend or alter the floor plan at any time during the lead up to the event.
• The Exhibitor must ensure that any third-party contractors engaged by the Exhibitor to erect a custom stand:
a) Always comply with all directions and requirements of the Organiser.
b) Upon request, can provide the Organiser with evidence of public liability insurance to a minimum of $10 million.
c) Commences erecting the stand and dismantling the stand at a time allocated by the Organiser.
• Exhibitors shall comply with all State and Commonwealth regulations and legal requirements as well as any rules of the venue.
• Exhibitors shall comply with the regulations and legal requirements of the venue and all relevant State and Commonwealth Departments, including risk analysis, lottery regulation, food safety regulation and any other regulations deemed by the Organiser, the Venue, or the Government.
• The Exhibitor shall affect Public Liability insurance of at least $10 million for the Exhibitor's stand covering loss from public risk, fire and theft and by signing this agreement are confirming that they hold this insurance and will produce the certificate of currency and the policy relating thereto on demand by the organiser.
• The Organisers shall not be responsible for any damages claimed by any person or persons who may be injured whilst in the area allotted to the Exhibitor and the Exhibitor agrees to indemnify the Organisers in the event of any claim being made against the Organisers.
• The Exhibitor indemnifies the Organiser, its employees, agents, contractors and sub-contractors from any claim, cost, demand, liability, or damage (including legal costs, professional costs, and other expenses on a full indemnity basis) incurred by the Organiser, its employees, agents, contractors, and sub-contractors arising out of, or relating to:
a) Any breach of these terms and conditions by the Exhibitor
b) The Exhibitors use and attendance at the Expo
c) Any injury or damage sustained due to any act or omission of the Exhibitor; or
d) Any damage to the Expo venue or any goods located at the Expo.
• To the extent permitted by law neither the Organiser nor its employees, agents, contractors, or sub-contractors will be liable to the Exhibitor for any loss or damage (including any consequential loss) arising out of the Exhibitor’s participation in the Expo.
Workplace Learning is monitoring and will follow all NSW Health guidelines and advice.
