Terms and Conditions  −  ICF Mentor Coaching | Group and Individual

Welcome. These Terms and Conditions govern your participation in and use of our programs and services. By registering for or engaging with our offerings, you acknowledge that you have read, understood, and agree to be bound by these terms. They are designed to ensure a professional, respectful, and productive experience for all participants.

1. Registration & Payment

To secure your place, payment in full is required upon registration.

Flexible payment plans are available for individual and group programs on request and must be agreed in writing before the program begins.

Registration for group programs close 3 days before the start date or once all spots are filled, whichever occurs first.

If the group program reaches capacity, a waitlist will be established, and participants will be notified if a spot becomes available.

2. Program Commitment
By registering, you agree to:

Attend all scheduled group sessions. Due to the nature of group programs, missed sessions cannot be rescheduled or refunded.

For the ICF Mentor Coaching program, additional individual mentoring sessions can be arranged at an extra cost to meet ICF requirements.

Complete any required pre-work and reflections between sessions to maximise your learning and development and enable you to participate fully in discussions.

Maintain confidentiality. What is shared in the sessions stays in the sessions.

Engage respectfully and constructively with other participants and the Supervisor/Mentor, creating a supportive learning environment for all.

If any participant acts in a manner contrary to the spirit of the program and this cannot be resolved, the Supervisor/Mentor reserves the right to request their withdrawal from the program.

3. Cancellation & Refund Policy

Group Programs

More than 7 days before commencement: Full refund minus a $50 administration fee.

3 to 7 days before commencement: 50% refund.

Less than 3 days before commencement: Non-refundable.

In extraordinary circumstances, at the Supervisor/Mentor’s discretion, a credit for other services may be considered. Requests must be submitted in writing.

If a group program is fully or partially cancelled by the Supervisor/Mentors due to unforeseen circumstances, participants will receive an appropriate refund or credit, where applicable.

Minimum participant requirement: Each group program requires a minimum number of participants to run effectively. If this minimum is not met, we will notify you as soon as possible and offer options such as transferring to a future program, applying credit towards another service, or receiving a full refund.

Individual Sessions

Either party may reschedule a session with a minimum of 24 hours' notice. If rescheduling is required, please aim to do so at least 48 hours prior to the scheduled session.

In an emergency (for either party), please call or text as soon as possible and follow up with a text and/or email.

If the Client does not attend, does not reschedule, and does not contact the Supervisor/Mentor Coach, the session is non-refundable and will be forfeited.

The Supervisor/Mentor will wait 10 minutes past the scheduled start time before considering the session cancelled.

4. Privacy & Data Protection

Your personal information will only be used by the Supervisor/Mentors (program facilitators) to share updates and relevant program information with you. No personal information will be shared or sold to third parties.

All matters discussed and resource materials which are shared during the program are strictly confidential. See ICF Code of Ethics.

No sessions will be recorded, ensuring a safe space for open discussion.

Participants are responsible for protecting any shared resources or materials provided during the program. Unacknowledged and/or unauthorised sharing or reproduction is prohibited.

Contact and attendance details will be used to confirm participation for Continuing Coach Education (CCE) and ICF credentialing purposes.

Minimal notes may be taken by the facilitator during sessions and used as reminder prompts only.

All notes (or written exercises related to coaching, supervision, or mentoring) are destroyed after completion of the engagement.

5. ICF Credentialing Disclaimer

Participants are responsible for meeting all ICF requirements, including submission of necessary documentation and completion of additional prerequisites.

While our ICF Mentor Coaching programs satisfy the ICF’s requirement for mentor coaching hours, completion of our program does not guarantee your ICF credential attainment or renewal.

6. Program Modifications

The facilitator reserves the right to modify the program schedule, content, or delivery method as needed to ensure quality and participant satisfaction. Participants will be notified promptly of any changes.

Where the Supervisor/Mentor is forced to reschedule a group session, the best possible outcome for all will be sought.

7. Liability

Programs are designed for professional development and personal growth. Results are influenced by individual effort and engagement. The Supervisor/Mentor is not liable for specific outcomes.

Participants are solely responsible for their well-being, decisions, actions, and outcomes during the supervision/mentoring relationship.

The liability of the Supervisor/Mentor extends only to the quality of the services provided.

The Supervisor/Mentor is not liable for any direct or indirect results of the participants actions, whether they resulted from the services provided or otherwise.

8. Conflicts of Interest

Any actual or potential conflict of interests that may arise during the program engagement will be mitigated by timely discussions between Supervisor/Mentor and coach willingness to agree to pragmatic solutions.

9. Agreement

By registering for the program, you acknowledge that you have read, understood, and agree to these terms and conditions agree to receive information about the Event by email from the Event Organiser.
