Terms & Conditions – 2025 Victorian Junior Chess Championship

By registering a child for the 2025 Victorian Junior Chess Championship, the parent/guardian agrees to the following terms: 

1. Eligibility & Entry
•Each player must meet the age requirements for their respective division as defined by the year of birth.
•Players may opt to play in an older age group but not a younger one.Entry is only confirmed once payment is received and processed.
•Organisers reserve the right to decline any entry at their discretion. 

2. Withdrawals & Refunds
•Withdrawals made before 12:00 noon, 8 July 2025 will be eligible for a refund (minus booking/admin fees).
•No refunds will be issued for withdrawals made after this deadline.
•Players who withdraw during the tournament must inform the Chief Arbiter or Chief Organiser directly. 

3. Conduct & Supervision
•Players are expected to show good sportsmanship and follow the directions of arbiters and officials at all times.
•Disruptive behaviour, cheating, or failure to follow tournament rules may result in disqualification or removal.
•U8 & U10 players must be supervised by a parent or guardian at all times.
•Organisers are not responsible for the supervision of minors outside the tournament hall. 

4. Photography & Media
•Photographs and video may be taken during the event and used by Hobsons Bay Chess Club, Wyndham Chess Club, Bacchus Marsh Grammar and Chess Victoria for promotional purposes (e.g. website, social media, newsletters).
•If you do not consent to your child being photographed, please notify the organisers in writing prior to the event. 

5. Liability
•While all reasonable care will be taken, the organisers and venue accept no responsibility for any loss, damage, or injury sustained during the event.
•Parents/guardians are responsible for the transport, insurance, and general welfare of their children throughout the event. 

6. Fair Play
•Mobile phones, smart watches, and other electronic devices must be switched off and stored away during play.
•Players are expected to record moves unless excused by the arbiter.
•Breaches of fair play rules may result in penalties, including forfeiture of games or disqualification. 

7. Event Changes
•The organisers reserve the right to make schedule adjustments, merge sections based on entries, or amend format or venue details if required.
•Any changes will be communicated via email and the official event website: www.vjcc.au 

By completing the registration, the parent/guardian acknowledges they have read, understood, and agreed to the above terms.
