Creating Well Policies
Booking and Payment Policy
1.
a. Creating Well’s group services include Retreats, classes, workshops and training for groups.
b. Creating Well’s individual services include private therapy sessions for 1 or 2 people, and private yoga and integrative therapy sessions for 3-6 people.
c. All Creating Well’s services are available by appointment only (termed “booking” for group services).
2. Bookings and appointments are essential to attend Retreats, classes, private sessions and services offered by Creating Well
3. All bookings and appointments are confirmed by pre-payment, either by full or instalment payment.
4. Payments may be by direct deposit (full or instalment payament) or through a booking site for full payment (e.g. Trybooking) or instalment payments (e.g. Paypal).

a. Prices for services exclude credit card and booking fees.
b. These fees are added at the checkout when paying through a booking site, by Paypal or credit card.
c. To exclude these fees, clients may pay by direct deposit.
d. Clients wanting to pay be direct deposit must email Creating Well to request to book a service so their booking is confirmed and the account details for payment are provided.

a. Instalment payment: Paid by direct deposit with $10/instalment fee for non-members.
b. Members do not pay instalment fees when paying by direct deposit.
c. If paying instalments by Paypal or similar automatic payment, Paypal service fees will be added to each instalment.
7. All discounts offered are on full priced services only.
8. Membership fees are paid at the commencement of Membership. They may be paid by direct deposit or through a booking site (credit card and booking fees may apply).
9. The first instalment of an Instalment Payment Plan for Membership will be due within 7 days of Membership sign-on or date of attendance of first Retreat/class/private session, whichever is earlier.
Booking and Cancellation Policy
1. If Creating Well cancels a service (eg Restorative Retreat, Private Therapy session) then the client will be offered a full credit towards another similar service or full refund.
2. If the client cancels a service:
a. A refund will not be offered except in exceptional circumstances and at the discretion of Creating Well.
b. Retreats, Workshops, Training and Packages of these services:
i. A full credit will be offered for cancellation more than 7 days before the date of the booked service (Booking Date). The client may use 100% of the price of the service cancelled as credit towards another available service (e.g. Restorative Retreat).
ii. If cancellation occurs 7 or fewer days before the Booking Date then the client may use their credit outlined in b.i. above upon payment of a late cancellation fee of $35.
Creating Well will invoice the client for the fee and confirm transfer of credit to the new service upon receipt of the fee.
If the cancellation fee is unpaid within one month of the date of invoice for the cancellation fee, then Creating Well retains the full amount paid for the cancelled Retreat, Workshop or Training, and credit towards another service is unavailable for that cancellation.
iii. If cancellation occurs 24 hours or less before the Booking Date then Creating Well retains 50% of the price of the service cancelled and the remaining 50% is available for the client to use as credit towards another available service, as outlined in b i and ii.
iv. Credit is unavailable in b.i.-iii. above if the client does not attend a booked service without notifying Creating Well of cancellation in writing (email or text) - "no show".
v. Creating Well will invoice or retain monies for services that have been used prior to the cancellation, up and including the date of cancellation. The remainder of monies are available to be credited towards other services offered by Creating Well, per the terms of this policy.
vi. Where the cost of another service is higher than the cost of the original cancelled service, the client will be invoiced for and required to pay the difference before the commencement of the other service.
vii. Credit must be used by 31 December of the year of service provision (the year of the original booked Retreat Date) or another date agreed to at the discretion of Creating Well.
viii. Full credit can only be offered for whole, unused Packages of Retreats, Workshops and Training.
ix. Clients who have used services that comprise a Package may cancel an individual component service in a Package and transfer this portion of credit to other services offered by Creating Well. The credit is available to use within the timeframe of the original Package at date of purchase or by the end of the calendar year, whichever is later.
x. The provisions of b.ii-iv of this Policy apply to cancellation of unused Packages and services within a Package.
xi. Credit offered may have booking and credit card fees deducted from the full amount of paid for the service.
c. Classes (eg Women's Yoga, Rest & Relax) and Class Packages:
i. Casual bookings can be transferred to another Class Date, provided the cancellation is notified in writing (text or email) before the start of the class. Credit must be used by 31 December of the year of service delivery (the year of the original booked Class Date).
ii. For class Packages (e.g. 5 or 10 class Pass) credit is available to attend other Class Dates before the Package Expiration Date.
iii. Class Packages have an Expiration Date: 5 class Pass - 3 months after the first Class Date; 10 class Pass - 5 months after the first Class Date.
iv. For cancelled whole Packages, the provisions of b. viii-x. above apply to classes.
v. If a client has attended 1 or more classes in a Package, transfer of remaining credit to another service is at the discretion of Creating Well (e.g. where 5/10 classes attended and client requests using remaining credit towards a Restorative Retreat). The client must request this transfer in writing.
e. Private sessions (e.g. Yoga Therapy, Coaching, Counselling, Integrative Therapy)
i. Prepayment of private sessions (yoga therapy/coaching/counselling/private group) is required. An invoice will be provided within 7 days of the appointment being made.
ii. If payment has not been confirmed or received 48 hours before the appointment time Creating Well may vacate the appointment time and give it to another client. Creating Well will provide notice by email of the intention to vacate the appointment time to the originally booked client.
iii. A client may request to reschedule an appointment more than 48 hours before the appointment time. The request must be in writing (text or email). Creating Well will agree with the client on a new appointment time.
iv. Requests to reschedule an appointment less than 48 hours before the appointment time result in 30% of the prepayment being retained by Creating Well. The client will be invoiced for this amount when rescheduling the appointment.
v. Clients who do not attend the appointment (“no-show”) or cancel the appointment less than 24 hours before the appointment time are late cancellations. Late cancellations will not be offered a refund and will not be offered credit towards rescheduling the appointment.
f. Except where otherwise advised by Creating Well, all credit must be used by 31 December of the calendar year that the booked service was offered and is not transferrable to following calendar years, or by the Expiration Date (e.g. Retreat Package with Retreat Dates in 2026 - credit for cancelled Retreats must be used in 2026; 10 class Pass purchased in 10/11/25 expires on 10/4/26). Any unused credit is unavailable after these dates.
g. A client may request in writing that any part of the cancellation policy be waived due to exceptional circumstances and provide reasons in writing for this request.
Waiver of the cancellation policy is at the discretion of Creating Well.
Creating Well will provide a response to a request for waiver within 7 days of receiving the request.
h. A client may request in writing that a full or partial credit be transferred to another person they nominate to attend a Retreat, Workshop, Training or Class in their place.
Membership Policy
1. Creating Well Membership packages services offered by Creating Well.
2. Clients become members by paying a non-refundable Membership fee:
12 month Membership fee: $150
24 month Membership fee: $250
3. Clients pay the Membership price for the services they select and inform Creating Well of their service selections.
4. Clients may add additional services to their Membership Package at any time during their valid Membership.
These services will be charged at the relevant membership price at the time of adding them to their Membership.
5. Membership is valid for 365 days for 12 month memberships and 730 days for 24 month memberships. After this the relevant time has elapsed the Membership is deemed to have expired.
6. Members may cancel their Membership at any time.
a. The membership fee is non-refundable.
b. Creating Well will retain monies or continue to charge for services (e.g. instalment payments) that have been used by the member up to and including the date of cancellation.
c. Creating Well will retain or charge a $150 cancellation fee.
d. The client will be refunded any balance remaining.
e. Instalments payments in excess of the payments mentioned in 6.b. above will be cancelled.
8. Creating Well reserves the right to create, change and discontinue the offers and terms of Membership.
9. If Creating Well cancels a membership category or offer it will:
a. Honour the terms of the memberships of existing members until their Membership expiration dates or until members have used all services and products in their Membership (whichever is earlier); OR
b. Refund members any monies held for future services and products that members have not yet used.
c. Creating Well will retain payments made for services and products used by clients.
d. No additional fees will be levied once the payments mentioned above in 9.b. have been made.
e. Instalment payments will be cancelled after Creating Well has received payment for services used by clients up to and including the date of cancellation of Membership.
f. This clause does not apply if Creating Well cancels a Membership due to the client being in arrears of instalment payment towards services used as part of a Membership. See Instalment Payments Policy.
Instalment Payments Policy
1. The cost of Creating Well services can be paid in full or via instalments by application in writing to Creating Well for Packaged services and Membership.
2. Creating Well may approve instalment payment arrangements for its services. It will provide the Client with the terms of the instalment payment plan in writing (including the amount of each instalment and the dates instalments are due).

a. An administration fee is charged for each instalment paid and may be based on the manner of collection of payment (e.g. direct deposit). Clients will be notified in writing of this fee.
b. Creating Well reserves the right to change the administration fee at its discretion.
c. Creating Well may choose to waive instalment administration fees in particular circumstances, such as part of Membership offers.
4. Instalment payments will be invoiced to clients and paid by direct debit. Alternatively, instalment payments may be directly deducted monthly from the client’s credit or debit card using a facility such as PayPal. Credit card and booking fees will be added to the amount of the instalment.
5. The client will receive an invoice for the first instalment by email upon booking. It is due to be paid before the service is provided (e.g. Retreat Date) or the due date on the invoice, whichever is earlier.
6. If any instalment payment is overdue Creating Well reserves the right to cancel the service (e.g. Retreat, Membership), fully or partially. Creating Well will notify the client by email of the cancellation of the service.
7. The client will be notified by email of the overdue instalment with a request for immediate payment of the instalment amount owing. The client will need to pay the overdue instalment immediately to receive services covered by the instalment and provide proof of payment via bank receipt.
8. If a service has been cancelled due to outstanding instalments and the client wants to book another service Creating Well may choose not to offer the client instalment payments.
Privacy Policy
Creating Well is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?
Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and facsimile numbers.
This Personal Information is obtained in many ways, including by email, telephone, interviews, from other publicly available sources and from third parties. We don’t guarantee website links or policy of authorised third parties.
We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.
When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Sensitive Information
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
Sensitive information will be used by us only:
• For the primary purpose for which it was obtained
• For a secondary purpose that is directly related to the primary purpose
• With your consent; or where required or authorised by law.
Third Parties
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties, such as www.trybooking.com. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
Disclosure of Personal Information
Your Personal Information may be disclosed in a number of circumstances including the following:
• Third parties where you consent to the use or disclosure; and
• Where required or authorised by law.
Security of Personal Information
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.
When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.
Access to your Personal Information
You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.
Creating Well will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.
In order to protect your Personal Information we may require identification from you before releasing the requested information.
Maintaining the Quality of your Personal Information
It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
