Terms and Conditions  −  Pulsing Minds School Holiday Program

By enrolling, parents/guardians agree to these Terms & Conditions.

Bookings & Payments

Bookings are confirmed only after full payment is received.

Places are limited and allocated on a first-come, first-served basis.

Pulsing Minds reserves the right to adjust schedules, activities, or facilitators where required for operational, safety, or practical reasons.

Program Hours, Drop-Off & Pick-Up

Programs operate between 8:30am and 5:15pm

Children must be signed in and out by a parent/guardian or authorised adult.

Supervision is not available outside program hours.

All children must be collected by 5:15pm, as supervision is not available after this time. Late collection without prior arrangement may incur an additional fee.

Children will only be released to the adult who signed them in unless written authorisation is provided for an alternative collector.

Late pick-ups without prior arrangement may incur additional charges.

Parents must ensure emergency contact details remain accurate and current.



Activity Participation & General Consent

Programs may include a variety of educational, recreational, and physical enrichment activities such as:

Introductory martial arts (e.g., karate, jiu jitsu)

Outdoor fun activities

Gymnastics-style movement sessions

Music, dance, or creative performance activities

Academic enrichment and problem-solving sessions

By enrolling, parents/guardians acknowledge that such activities may form part of the program and provide general consent for participation unless they notify Pulsing Minds otherwise in advance. All activities are supervised, age-appropriate, and conducted with safety as a priority.



Behaviour & Conduct Expectations

Pulsing Minds aims to maintain a respectful, inclusive, and safe environment.

If a child:

Displays repeated disruptive behaviour,

Engages in bullying or unsafe conduct, or

Poses a safety risk to themselves or others,

Pulsing Minds reserves the right to:

Contact parents/guardians immediately, and/or

Require early collection or withdrawal from the program if necessary.



Health, Medication & Medical Disclosure

Parents/guardians must inform Pulsing Minds in advance of any medical conditions, allergies, learning needs, special support requirements or emergency health plans their child may have. While reasonable care and safety procedures are followed, Pulsing Minds cannot guarantee an allergen-free environment. Providing accurate medical information helps us support your child safely during all activities. Please contact us via email before booking if your child has any specific needs or health considerations.

Medication:

Prescription medication can only be administered with written consent.

Medication must be clearly labelled and in original packaging.

Non-prescription medication will not be administered unless formally authorised.

Providing accurate medical information helps ensure safe participation.



Food & Allergy Safety

Children must bring their own meals, snacks, and refillable water bottles.

To support allergy safety:

Food sharing is discouraged.

Families are requested to avoid sending nuts or nut products where possible.

Pulsing Minds follows reasonable safety practices but cannot guarantee an allergen-free environment.

Parents should ensure children bring adequate food and hydration.



Clothing, Footwear & Personal Items

Children should wear:

Practical, sun-safe clothing suitable for active and creative activities

Closed, secure footwear (no thongs, slides, Crocs, wheelie shoes, or similar unsafe footwear)

Some activities may be messy, so suitable clothing is recommended.

Parents should apply sunscreen before arrival on warm days; sunscreen may also be available onsite.

Please avoid sending valuables or sentimental items. Pulsing Minds cannot accept responsibility for lost, damaged, or misplaced belongings.



Illness & Attendance Policy

If your child is unwell on the day of the program, we kindly ask that they remain at home to ensure their own wellbeing and the safety of other children and staff. This includes symptoms such as fever, vomiting, contagious illness, or any condition that may affect participation.

If a child becomes unwell during the program, parents/guardians will be contacted and may be required to arrange prompt collection. Please notify Pulsing Minds as early as possible if your child is unable to attend due to illness. Refunds or rescheduling for illness will be considered in line with our cancellation policy.



10. Photography & Media

Photographs or videos may occasionally be taken during activities for internal updates or promotional purposes, subject to parental consent. Families may opt out at any time.



11. Program Changes, Cancellation & Weather Conditions

While every effort is made to deliver advertised activities:

Activities may change due to safety, facilitator availability, weather, or operational considerations.

Alternative activities will be arranged where possible.

Families will be informed as early as practicable.

Extreme Weather Clause

Pulsing Minds reserves the right to modify, postpone, or cancel sessions due to extreme weather or safety concerns.

If a session is cancelled by Pulsing Minds:

Families may choose a full refund, OR

Transfer the booking to another available session.



12. Liability Acknowledgement

Pulsing Minds takes reasonable precautions to ensure children’s safety and wellbeing. However, participation in group educational, creative, and recreational activities involves inherent minor risks typical of children’s programs.

By enrolling, parents/guardians acknowledge these risks and consent to their child’s participation in supervised activities.



To the extent permitted by law, Pulsing Minds, its staff, facilitators, and representatives will not be liable for:

Minor injuries arising from normal supervised participation in program activities

Loss or damage to personal property

Program disruptions caused by unforeseen circumstances outside reasonable control



This does not exclude liability where negligence or legal obligations apply.



12. Personal Belongings

Children should bring only necessary items required for the day. Pulsing Minds cannot accept responsibility for loss, theft, or damage to personal belongings.

Cancellation Policy
We understand that plans can change. To ensure fairness and smooth operations, please review our cancellation policy below:

Cancellations before 10th March:
A full refund will be provided for any cancellations

Cancellations from 11th March to 25th March: A 50% refund will be provided for cancellations

Cancellations from 26th March onward:
Unfortunately, no refunds will be available for cancellations made from 26th March onwards, including no-shows.

Transfer Option:
If your child can no longer attend, you may transfer the booking to another child (subject to availability) by contacting us at info@pulsingminds.com.au

Program Cancellation by Organisers:
In the rare event that the program is cancelled by organisers, a full refund will be issued to all registered participants.


TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.

All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the “Event Organiser” and not that of TryBooking Pty Ltd (Australian Business Number 71126987915).
