Terms and Conditions  −  Birdwings Forest School Holiday Programs 2026

These Terms and Conditions have been put in place to ensure that all Birdwings Forest School events may support best practice with participants, families and nature. Confirmation of all bookings occurs with acceptance of these Terms and Conditions.
Definitions

“Birdwings” or ”Birdwings Forest School” refers to the business owned and operated by the partnership Greystone Farm Pty Ltd & Lavendilly House Pty Ltd.
“Staff Member”/”Mentor” refers to any person paid by Birdwings Forest School to facilitate events offered by Birdwings Forest School. All staff members hold a current Blue Card, Senior First Aid Certificate and Child Protection Certificate.
“Volunteer” refers to any person who is supporting a staff member to facilitate events offered by Birdwings Forest School. Volunteers may be students, parents, unpaid educators and must have a Blue Card and First Aid certificate.
“Participant” refers to any person who is booked in to participate in a Birdwings event, either free or ticketed.
“Child” refers to any participant who is under the age of 18, and who has been signed in as a participant by a parent or guardian.
“Booking” refers to the enrolment of any participant in any Birdwings Forest School event that has been confirmed by acceptance of the Terms and Conditions, paid in full prior to the commencement of the event, and whose name appears on the register of event participants.

1. PARTICIPATION IN ADVENTUROUS AND RISKY ACTIVITIES.

Birdwings offers outdoor play activities for participants which may present an element of risk or personal injury. Benefit Risk Assessments are completed and available to view for all Birdwings activities, procedures and locations. By booking a child in to a Birdwings event parents or guardians agree to the following conditions:
1.1 Participants may be involved in activities which carry a degree of personal risk and injury such bushwalking, tree climbing, water activities (wading, swimming, rafting, kayaking), building with natural materials, using sharp and heavy tools. Risk assessments are in place to prevent serious injuries, however the risk is still present. Serious injuries may include risk of broken bones, head injury, drowning, bites by insects/ticks/spiders/snakes, scratches, grazes and wounds.
1.2 Participants may be involved in the creation of agreements regarding procedures for safe and respectful relationships with others, use of areas, tool use, activities, emergency procedures, and facilitated discussions around dynamic risk assessments during their activities. participants will be involved in the process of assessing their own confidence, capabilities and actions for each activity, and;
1.3 Participants are expected (within appropriate developmental limitations) to honour the agreements made during their booked Birdwings Forest School event, and to behave with respect and safety regarding self, staff, volunteers, other participants, nature and property.
1.4 Parent/Guardians whose children are unable to consistently monitor and regulate their behaviour with appropriate regard to safety and respect will be called to collect their children from the event, with no refund applicable.

2. MEDICAL DECLARATIONS AND FIRST AID.
Birdwings staff members must be able to respond quickly and appropriately to every participant’s medical needs. Attendance at any Birdwings session is conditional upon parent/guardians providing accurate information regarding participants's medical needs. All adult participants and Parent/Guardians of child participants agree to the following:
2.1 Any known physical, cognitive, medical or other conditions which may affect participants effective and safe participation in any Birdwings activities must be declared upon booking
2.2 Declare any known condition requiring medical treatment AND provide an accurate prevention/treatment plan and access to appropriate medication if required for your child. Give permission for Birdwings staff members to administer appropriate First Aid treatment.
2.3 Give permission for Birdwings staff members to call an ambulance, at the participant’s expense, if required for urgent medical attention.
2.4 Participants who are feeling unwell, have an injury, are presenting with symptoms of illness or who have demonstrated symptoms of illness within the previous 48 hours (including evidence of viruses, communicable diseases/rashes, vomiting and diarrhea) will not be able to attend Birdwings events and may be required to be collected from the session, at cost to the participant or their parent/guardian.

3. ALL-WEATHER ACTIVITIES
Birdwings Forest School offers all-weather outdoor play events. All participants must be prepared accordingly for inclement weather. Parent/Guardians are required to understand and agree to the following conditions for all-weather play:
3.1 Participants will be engaged in outdoor activities in all weather and may become wet and dirty in the course of their activities at Birdwings events.
3.2 Birdwings Forest School staff will monitor each participant’s wellbeing and safety during all-weather play.
3.3 All participants must bring their own clothing and equipment appropriate to the activities and expected weather for the day. Participants may be excluded from activities that require specific clothing and equipment and might be refused attendance, without refund, if they do not have appropriate clothing and footwear for the activity and expected weather for the session.
3.4 Birdwings Forest School events may be cancelled suddenly if a severe weather event occurs and parents/guardians may be required to collect participants early if the weather is unsuitable or unsafe for the planned activity session.

4. REQUIRED CLOTHING AND EQUIPMENT.
Participants are required to provide the following items
Drink bottles containing WATER only. No glass drink bottles.
Sufficient food for the day, in a compact and self-insulated container, with healthy picnic/hiking-style food, minimal packaging. Participants' food must not require refrigeration or heating.
Sunscreen and insect repellent, named and carried in their own backpack. Sunscreen and insect repellent is applied prior to each session, and reapplied at lunch time or as required.
Shady hats are a requirement
Raincoats in case of changing weather (disposable ponchos are not suitable).
Sunsafe clothing suitable for water and bushwalking activities: it is recommended that participants arrive wearing shorts (warm weather) or leggings (cool weather) and shirts that cover shoulders.
No skirts/dresses, singlet tops, jeans or tracksuit pants for water activities.
Spare clothes with wetbag are essential. Warm clothing for changing into during cooler months is required (tracksuits acceptable for spare clothing)
Closed shoes are essential. Water shoes are best. Spare dry shoes to be packed.
NO thongs, crocs, sandals or open toed shoes.

5. BOOKINGS, PAYMENTS AND REFUNDS
Bookings at any casual Birdwings Forest School event are considered confirmed only with agreement to the following Booking and Refund Conditions:
5.1 Places in Birdwings sessions are considered confirmed bookings only once full payment is received.
5.2 Cancellations are accepted up to five days prior to casual events. Refunds of payments are available until five days prior to the booked session, however a service fee of $20 per booking will apply for all refunds.
5.3 Full or partial refunds are not given for cancellations by participants within five days prior to the booked event, or in the event of non-attendance on the date of the booked event.
5.4 Participants who are sent home early from an event by a staff member, or who are collected early from an event by a parent/guardian are not eligible for a refund or partial refund, regardless of whether early collection is due to illness, injury, behaviour, appointments or change of plans by parent/guardian.
5.5 Full refunds are available for all bookings in the event of cancellation by Birdwings.

6. BIOHAZARD AGREEMENT
Events scheduled at Frost Farm, Billiau Rd, Guanaba are subject to a biohazard agreement for the protection of the cattle from Foot-and-Mouth Disease. Participants who have travelled from Indonesia within 7 days prior to the event may not attend on site.

7. PHOTOGRAPHY AND SOCIAL MEDIA
Birdwings Forest School takes photographs and videos of the participants, their activities and creations during the course of their events for the purpose of documentation of experiences and also for promotional purposes. These media images may be used on social media including the Birdwings Forest School website, Instagram and Facebook accounts and may also be used in fliers and other print promotional material. All images are shared respectfully with regard to participants, however may share identifiable features of each participant. Unless notified in writing, by booking in to a Birdwings event, participants and their parent/guardians give permission to Birdwings to:
Use photography and video to capture images of participants, their likenesses and creations during Birdwings events, and;
Use these images for promotional purposes by Birdwings at any time.

8. WRITTEN NOTICE OF CONSIDERATIONS AND/OR OBJECTIONS TO THESE TERMS AND CONDITIONS.
Notice is to be given in writing prior to the event if there are any individual considerations to be made or objections to any part of these Terms and Conditions.

All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the “Event Organiser” and not that of TryBooking Pty Ltd (Australian Business Number 71126987915).
