TERMS AND CONDITIONS

We ask Delegates that register to be mindful of several factors when planning their attendance at the conference.

1. Our intention is to hold the meeting face-to-face, as we normally do, at the Rusutsu Resort. The expectation is that Japan’s borders will be fully open for travel in January, despite the fact that there are still border controls at the time of writing. It is highly probable that the wearing of face masks or P2/N95 respirators will be mandated in the main conference area.

2. The organizing committee of the conference reserves the right to move the conference to an online only format at any time. Examples of situations in which this may be necessary include, but are not limited to:

a. Borders being closed for travel

b. A change in the pandemic situation that makes holding the conference in person potentially unsafe.

3. In the event that the Conference is moved to an online only format, delegates will have access to a platform where they can stream the scientific program.

4. The registration fee is non-refundable. No refund of registration fees will be provided in the event that the function moves to an online-only format or if travel to the event in person is not possible.

5. We encourage delegates to take great care in understanding:

a. The cancellation policies of their flights to Japan

b. The cancellation policies of their accommodation

c. The adequacy of their travel insurance

6. The International Hokkaido Trauma Conference will not be responsible for any losses incurred by delegates as a result of disruptions to their travel, either before, during or after the event.
