Multicultural Grant Privacy Notice – Collection of Personal Information

The Department is committed to protecting the privacy of individuals in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

*Purpose of collection

The Department collects personal information for the purpose of administering and delivering its functions and activities related to event registration, attendance management and associated communications.

The personal information collected is limited to what is reasonably necessary to carry out these functions and activities.

*Types of information collected

The Department may collect personal information including, but not limited to:
• name
• contact details (such as email address and phone number)
• Organisation and persons role at the organisation
• booking or registration information relevant to the event or activity.

In limited circumstances, sensitive information may be collected where it is necessary for the activity (for example, accessibility or health information). Where sensitive information is collected, it will only be collected with the individual’s consent, or as otherwise permitted by law.

*How information is collected

Personal information is collected directly from individuals through the TryBooking platform, or indirectly where information is provided by a third party acting on behalf of the individual.

*Legal authority

The collection of personal information is authorised under the Privacy Act 1988 (Cth) and is undertaken in support of the Department’s lawful functions and activities. Where collection is required or authorised by a specific law, that authority will be identified at the point of collection where practicable.

*Consequences of not providing information

If the requested personal information is not provided, the Department may be unable to process a registration, manage attendance, or provide related services.

*Use and disclosure

Personal information is used only for the purposes for which it was collected, or for a directly related purpose where the individual would reasonably expect such use.

Personal information collected through TryBooking is disclosed to:
• the relevant event organiser within the Department, and
• TryBooking Pty Ltd as the service provider operating the platform.

Information may also be disclosed where required or authorised by law.

*Overseas disclosure

Personal information may be stored or processed using cloud infrastructure located overseas (including the United States). Reasonable steps are taken to ensure overseas recipients handle personal information in a manner consistent with the Australian Privacy Principles.

*How you can access or correct your personal information

You can make a request for access and correction of your personal information under the Freedom of Information Act 1982 (Cth) and the Privacy Act.
