EVENT TERMS & CONDITIONS FOR VENDORS
Site Access
Bump in for marquees will be between 10:00 am and 4:00 pm, Friday 22nd May
Bump in for products/display will be between 6:00 am and 7:30 am, Saturday 23rd May.
Bump out will begin at the conclusion of the event after the BBQ Teams have bumped out from 8:00/ 8:30pm Saturday 23rd May or Sunday 25th between 8am and 12 noon.
Vendors who show up late will not be admitted on to the site.
There will be no deliveries during event hours, only before the gates open, each day.
Access is for the entire duration of the BBQ Battle (Friday and Saturday), and is strictly for Vendors only.
All cars and vehicles are to be removed from Site!!
Any vehicles wanting access during event times will not be allowed on Site.
All cars need to be off site from: 4pm Friday
Gardens and Parklands
Please take care of natural Flora in the area; do not use trees or branches in any way with your demonstration area.
No signs to be attached to the trees in the parklands.
Conduct
All Vendors and their staff/volunteers must behave in a professional and courteous manner at all times.
Vendors must take direction from the Event Management and security staff at all times.
Cancellation
Cancellations must be notified in writing 14 days prior to the event or the full fee will be forfeited.
Site Restrictions
No pets or livestock will be permitted on the event site.
Use of amplified music is prohibited unless approved by BBQ Battle.
Vendors may not use inappropriate products; counterfeit, weapons, dangerous or illegal items are not allowed on the site.
Vendors must adhere to the BBQ Battle entry conditions and not bring any prohibited items into the site: No alcohol or illicit drugs, animals (except in accordance with legislation), fire/fireworks, video cameras or professional cameras.
Marquees
Vendors are responsible for bringing their own Marques/Gazebos unless organised through BBQ Battle.
Marques/Gazebos and Umbrellas must be weighed down with suitable weights; such as sand bags or specially designed weights. Pegging is NOT permitted due to underground services.
If pegging is required you must contact the event organiser
Garbage and Recycling
The event will supply bins for general waste, recyclable products including cardboard and grey water (nothing is to be disposed of down drains or in garden beds).
It is your responsibility to sort and dispose of your rubbish. Please contact the Event Organiser if you have any queries.
Sites must be left as they were found. It is your responsibility to remove ALL waste and ensure site is left clean and tidy.
Only biodegradable ecologically sound detergents and cleaning fluids will be permitted for use.
Security
All effort is made to secure the site but no responsibility will be taken for loss or damage to any person or goods whether or not that loss, damage or injury arises from the negligence of staff or contractors employed by the BBQ Battle.
Video and Photography
Each Vendor agrees to being photographed or recorded for use in our promotional (in which you have no rights including to a copy thereof), and that you have no right to pre-approval of, and no entitlement to payment for any such use.
Alcohol Policy
Vendors understand that the site has a licensed area, and you will need to comply with The Liquor Act of 2007.
Each Vendor understands that their site may not be within the Licensed area.
BBQ Battle will not tolerate any Vendor consuming BYO Alcohol. Breach of this condition will result in ejection from site and forfeit of fees paid.
Termination
If this agreement is breached, BBQ Battle reserves the right to terminate this agreement.
Refunds
Refunds will not be issued. Refunds will NOT be issued in the event of bad weather, late arrival, last minutes cancellations or change of mind. In the event of cancellation due to inclement weather, transfer of dates and charges will not turn over to a future event.
BBQ Battle Policies and Procedures
The Vendor acknowledges that you have each read the BBQ Battle TERMS & CONDITIONS document and agree:
that you shall comply with all BBQ Battle Policies & Procedures in place;
Townsville BBQ Battle may at any time review, implement, vary and/or terminate policies at any time at its sole discretion; and
failure to comply with BBQ Battle Terms & Conditions may result in eviction from the event without recourse or redress.
Indemnification
The Vendor and its members shall defend, indemnify, hold harmless and insure BBQ Battle and its affiliates from any and all damages expenses or liability, resulting from or arising out of any negligence or misconduct on the team or team members part, or from any breach or default of these Terms and Conditions which is caused or occasioned by the acts of the Vendor or its members. Vendors shall insure that its members and affiliates take all actions necessary to comply with the terms and conditions set forth in these Terms and Conditions.
The Vendor understands any breach in the above terms and conditions, may impact the Vendor (including its members) and may impact their ability to participate in future events.
Meaning of Vendor: The use of word Vendor is taken to mean the entire vendor team and each individual vendor team member both paid and unpaid.
TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.
All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the “Event Organiser” and not that of TryBooking Pty Ltd (Australian Business Number 71126987915).
