Terms and Conditions  −  EstWest seikluspäev - EstWest Adventure Day

By purchasing a ticket, registering for, or attending EstWest Seikluspäev / Adventure Day, all participants agree to the following Terms and Conditions:

1. Event Information and Communication

For information regarding this event, please contact the Event Organiser. By purchasing a ticket or registering, you agree to receive event-related information, updates, and important notices by email from the Event Organiser.

2. Registration and Payment

Registration is only confirmed once full payment has been received. Places are limited and bookings will be secured in order of payment received.

Participants are responsible for ensuring they select the correct ticket type, package, or pricing option at the time of booking. Any changes requested after booking will be subject to availability and organiser discretion.

3. Participation at Own Risk

Participation in activities and attendance at the event is at your own responsibility and risk. While reasonable care will be taken by the Event Organiser, Swan Valley Adventure Centre, instructors, and volunteers, participants acknowledge that outdoor and adventure activities may involve physical exertion, environmental conditions, and inherent risks of injury.

4. Health, Fitness and Medical Conditions

Participants must disclose any relevant medical conditions, injuries, allergies, accessibility requirements, or other factors that may affect safe participation during registration.

Participants are responsible for ensuring they are medically fit and capable of taking part in the activities they choose. Individuals should only participate in activities appropriate to their age, fitness level, confidence, and physical ability.

5. Children and Supervision

Children under 18 years of age must attend under the supervision of a parent or responsible adult.

Parents/guardians remain fully responsible for supervising children below school age at all times, except where a child is directly participating in a supervised instructor-led activity.

6. Activity Restrictions and Safety Requirements

Some activities may be subject to minimum or maximum age, height, weight, fitness, or other safety requirements.

The Event Organiser, Swan Valley Adventure Centre, instructors, and staff reserve the right to restrict or refuse participation in any activity where required for safety, operational, or behavioural reasons.

7. Compliance with Instructions

All participants must follow the rules, policies, and safety procedures of Swan Valley Adventure Centre and comply with all directions given by event organisers, instructors, staff, and volunteers at all times.

Failure to follow instructions, unsafe conduct, disruptive behaviour, or behaviour that places others at risk may result in exclusion from some or all activities, or removal from the event, without refund.

8. Behaviour and Respect

All attendees are expected to behave respectfully towards other participants, organisers, staff, volunteers, and venue property. Harassment, aggression, damage to property, or inappropriate conduct will not be tolerated.

9. Program Changes

The Event Organiser reserves the right to alter, postpone, substitute, or cancel activities, schedules, meal arrangements, or timings due to weather conditions, safety concerns, minimum numbers, venue requirements, instructor availability, or unforeseen circumstances.

Every reasonable effort will be made to communicate significant changes as soon as practicable.

10. Refunds and Cancellations

Participation fees are non-refundable unless the event is cancelled by the organiser.

If the event is cancelled, refunds (full or partial) will be determined by the organiser after consideration of venue, catering, supplier, and administrative costs already incurred.

No refund will be provided for non-attendance, change of mind, late arrival, or removal due to breach of these Terms and Conditions.

11. Photography and Media Consent

Photos and videos may be taken during the event for use in EstWest marketing, promotional materials, newsletters, website content, grant reporting, and community social media channels.

If you do not wish to appear in photographs or videos, you must notify the organiser in advance or advise organisers on arrival.

12. Personal Belongings

Participants are responsible for their own personal belongings. The Event Organiser and venue accept no responsibility for lost, stolen, or damaged items.

13. Liability

To the maximum extent permitted by law, the Event Organiser, volunteers, and venue will not be liable for any loss, damage, injury, delay, or expense arising from participation in the event, except where liability cannot be excluded by law.

14. Acceptance of Terms

By registering for or attending this event, you confirm that you have read, understood, and accepted these Terms and Conditions on behalf of yourself and any children or dependants included in your booking.
