Performer Terms & Conditions - Multicultural Dance Fest 2026

By registering for this event, you agree to the following Terms & Conditions.
TogetherVSmile creates multicultural community events that celebrate diversity, connection and shared cultural experiences. These Terms help us deliver a safe, respectful and well-organised event for all performers, families, supporters and community members.

1. Registration And Acceptance
By purchasing a performer registration ticket or submitting a performer registration, you confirm that:

You have read and accepted these Terms & Conditions.
You are authorised to register yourself, your child, your dance school or your group.
For group registrations, the person registering is responsible for sharing these Terms with all performers, parents, guardians and group members.
For performers under 18 years of age, a parent, guardian, teacher or authorised adult must provide consent and be responsible for the child’s participation.

2. Performer Categories And Fees
The participation fees are:
Solo – $30
Duet – $45
Group of 5 – $100
Group of 8 – $145
Group of 10 – $160
Group of 12 – $180 Community Ensemble Special
Group of 14 – $200 Community Ensemble Special
All prices are in Australian dollars. Eventbrite booking, payment processing or platform fees may apply.

3. 21-Day Refund Policy
Refund requests must be submitted at least 21 days before the event start time.
For this event, refund requests must be received by:
2:00 pm AEST on Sunday, 5 July 2026
Refund requests received on or before this deadline may be eligible for a refund of the performer registration fee, less any Eventbrite, booking or payment processing fees that are not refundable.
No refunds will be provided after the refund deadline for change of mind, scheduling conflicts, non-attendance, late arrival, withdrawal, failure to submit music on time, illness, transport issues or inability to perform, except where required by Australian Consumer Law or approved by TogetherVSmile at its discretion.

4. If The Event Is Cancelled, Postponed Or Changed
TogetherVSmile may need to cancel, postpone, relocate or adjust the event due to circumstances such as venue issues, safety concerns, low registrations, emergency situations, government directions, technical issues or circumstances outside the organiser’s reasonable control.
If TogetherVSmile cancels the event or makes a major change, performers will be offered a remedy in line with Australian Consumer Law.
If the event is postponed, registrations may be transferred to the new date where possible. If a performer cannot attend the new date, TogetherVSmile will consider refund options in line with Australian Consumer Law and the circumstances of the postponement.
TogetherVSmile is not responsible for additional costs incurred by performers or attendees, including travel, accommodation, costumes, rehearsal costs, lost income or other personal expenses, except where required by law.

5. Performer Selection And Programme Changes
Performer spots are limited.
TogetherVSmile may review registrations to create a balanced multicultural programme with a variety of cultures, dance styles, age groups and performance types.
TogetherVSmile may accept, decline or waitlist performer registrations at its discretion.
TogetherVSmile may adjust performance order, performance duration, stage timing, category placement or programme structure to support safe and smooth event delivery.

6. Performance Requirements
All performances must be suitable for a family-friendly community audience.
Performers agree that their music, costumes, choreography, props and behaviour will be respectful, safe and culturally appropriate.
TogetherVSmile may refuse or stop any performance that includes unsafe, offensive, discriminatory, sexually explicit, aggressive, hateful, political or culturally disrespectful content.

Suggested performance duration:
Solo or duet: up to 3 minutes
Group performance: up to 4–5 minutes
Final timing may be confirmed closer to the event.

7. Music, Props And Technical Requirements
Performers must submit final music by the deadline provided by TogetherVSmile.
Music should be provided in the requested digital format, usually MP3 or similar.
Late music submissions or last-minute changes may not be accepted.
Performers are responsible for ensuring their music, props and performance materials are suitable for use at the event.
Props must be safe, easy to move and approved by TogetherVSmile before the event. Sharp objects, fire, smoke, liquids, powders, glitter, confetti or unsafe stage items are not allowed unless approved in writing by TogetherVSmile and the venue.

8. Health, Safety And Participation Risk
Dance and stage performance involve physical movement and may involve risks, including slips, trips, falls, muscle strain, costume-related issues or injury.
By participating, performers acknowledge these ordinary risks and agree to take reasonable care for their own health and safety.
Performers must not participate if they are injured, unwell or unable to safely perform.
Performers must follow all safety instructions provided by TogetherVSmile, venue staff, stage coordinators, volunteers and authorised representatives.
TogetherVSmile may refuse participation or remove a performer from the programme if there is a safety concern.

9. Children And Young Performers
Children and young performers are warmly welcomed, but their safety is a shared responsibility.
For performers under 18 years of age:
A parent, guardian, teacher or authorised adult must consent to participation.
A responsible adult must supervise child performers at all times.
Group leaders and teachers are responsible for their students and group members.
Children must not be left unattended at the venue.
Parents, guardians or group leaders must advise TogetherVSmile of any relevant medical, access or support needs before the event.

10. Photography And Video Consent
Photos and videos may be taken at the event for event memories, social media, marketing, community storytelling and future TogetherVSmile promotions.
By participating, performers consent to being photographed or filmed during the event.
For child performers, the registering parent, guardian, teacher or group leader confirms they have the necessary permission for the child to be photographed or filmed.
If you do not want yourself or your child to be photographed or filmed, you must notify TogetherVSmile in writing before the event. TogetherVSmile will make reasonable efforts to support privacy requests, but cannot guarantee that performers will not appear in wide crowd shots or background footage.

11. Personal Belongings
Performers are responsible for their own belongings, costumes, jewellery, props, equipment, phones, bags and valuables.
TogetherVSmile, its organisers, staff, volunteers, supporters, sponsors, contractors, venue partners and representatives are not responsible for lost, stolen, damaged or misplaced personal items, except where required by law.

12. Respectful Behaviour
TogetherVSmile is committed to creating a welcoming, inclusive and respectful environment.
Performers, group leaders, parents, guardians and attendees must behave respectfully towards organisers, volunteers, venue staff, other performers and the community.
Discrimination, bullying, harassment, abuse, aggressive behaviour or cultural disrespect will not be tolerated.
TogetherVSmile may remove any person from the event or cancel their participation without refund if they breach these behaviour expectations.

13. Liability And Release
To the maximum extent permitted by law, TogetherVSmile, its directors, organisers, staff, volunteers, contractors, sponsors, supporters, venue partners, community partners and representatives are not liable for any loss, damage, injury, delay, disruption, cancellation, expense or inconvenience arising from participation in the event, except where caused by their proven negligence, wilful misconduct or where liability cannot be excluded under Australian Consumer Law.

14. Indemnity
The registering performer, parent, guardian, teacher or group leader agrees to indemnify TogetherVSmile and its organisers, staff, volunteers, supporters, sponsors, contractors, venue partners and representatives against claims, losses, damages, costs or expenses arising from:
A breach of these Terms.
Unsafe, negligent or inappropriate conduct by the performer or group.
Damage caused to the venue, equipment or property.
Injury caused to another person by the performer or group.
Use of unapproved props, music, costumes or performance materials.
Any claim relating to music, choreography, copyright, intellectual property or content supplied by the performer or group.
This indemnity applies only to the extent the claim, loss or damage is caused by the performer, group, parent, guardian, teacher or group leader.

15. Supporters, Sponsors And Partners
Sponsors, supporters, community partners and venue partners help make community events possible, but they are not responsible for event management decisions unless expressly stated.
By registering, you acknowledge that supporters, sponsors and partners are not liable for performer registration, refunds, programme decisions, event operations or participant conduct, except where required by law.

16. Insurance
Dance schools, professional performers, cultural organisations and community groups are encouraged to hold their own public liability insurance where appropriate.
TogetherVSmile may request evidence of insurance from professional performers, dance schools or organisations where required by the venue, organiser or event risk assessment.

17. Event Rules And Venue Conditions
All performers and attendees must comply with venue rules, safety directions and lawful instructions from TogetherVSmile, venue staff and authorised representatives.
Failure to follow venue or organiser instructions may result in removal from the event without refund.

18. Privacy
TogetherVSmile will collect personal information for event registration, performer coordination, safety, communication, promotion and administration.
Your information will only be used for event-related purposes, TogetherVSmile communications to update on future events and activities, unless you provide permission for other use or disclosure is required by law.

19. Agreement To Terms
By registering for Multicultural Dance Fest 2026, you confirm that you have read, understood and accepted these Terms & Conditions.
For group registrations, the person registering confirms they have authority to accept these Terms on behalf of the group and will ensure all performers, parents, guardians and group members are aware of the relevant event requirements.
