RDNHW Melbourne Cup Community Sweeps 2026 - Terms and Conditions
By purchasing a ticket to, entering, or participating in the RDNHW Melbourne Cup Community Sweeps 2026, you agree to the following Terms and Conditions.
1. Organiser
The organiser of the RDNHW Melbourne Cup Community Sweeps 2026 is Riverdowns Neighbourhood Watch, also referred to as RDNHW.
In these Terms and Conditions, “Event Organiser”, “we”, “us” and “our” mean Riverdowns Neighbourhood Watch, RDNHW, and its authorised volunteers, committee members and representatives.
The sweeps are being conducted to raise funds for RDNHW community activities.
2. Type of activity
The RDNHW Melbourne Cup Community Sweeps 2026 are community fundraising sweeps based on the official result of the 2026 Melbourne Cup.
Each sweep is a separate 24-entry sweep. Each paid ticket gives the entrant one randomly allocated horse in the sweepstakes.
The sweeps are not a donation product. No tax-deductible donation receipt will be issued for sweep tickets.
3. Fundraising purpose
Net proceeds after prizes and TryBooking costs will support RDNHW community safety, awareness, communication and neighbourhood activities.
The RDNHW committee will absorb TryBooking ticketing and processing fees from the proceeds. These costs will not reduce the advertised prize amounts.
4. Eligibility
Entrants must be 18 years or over.
Entrants must provide accurate contact details so that RDNHW can maintain ticket records, allocate horses, contact entrants and pay prizes.
A person directly involved in conducting or witnessing the random horse allocation for a sweep is not eligible to enter that sweep.
RDNHW may refuse, cancel or refund an entry if the entrant is ineligible, has provided false or incomplete details, or the entry would cause the fundraiser to exceed the approved ticket-sale cap.
5. Sweep structure
The fundraiser consists of 12 separate sweeps, each with a maximum of 24 entries.
The approved sweep structure is:
Sweep A - Titanium Sweep - $20 per ticket - 24 entries
Sweep B - Gold Sweep - $10 per ticket - 24 entries
Sweep C - Gold Sweep - $10 per ticket - 24 entries
Sweep D - Gold Sweep - $10 per ticket - 24 entries
Sweep E - Gold Sweep - $10 per ticket - 24 entries
Sweep F - Silver Sweep - $5 per ticket - 24 entries
Sweep G - Silver Sweep - $5 per ticket - 24 entries
Sweep H - Silver Sweep - $5 per ticket - 24 entries
Sweep I - Bronze Sweep - $2 per ticket - 24 entries
Sweep J - Bronze Sweep - $2 per ticket - 24 entries
Sweep K - Bronze Sweep - $2 per ticket - 24 entries
Sweep L - Bronze Sweep - $2 per ticket - 24 entries
Each sweep is separate. A ticket in one sweep does not give the entrant a chance to win a prize in any other sweep.
The Bronze Sweeps are intended for estate residents, seniors and supporters seeking a low-cost entry option.
6. Ticket sales
Tickets will be sold through TryBooking.
Ticket sales open on [insert opening date] and close at [insert closing time and date], unless sold out earlier.
No ticket will be issued unless the correct ticket price has been paid.
Tickets must not be sold after the advertised closing time.
Each paid ticket will be identified by a sweep letter and ticket or booking number.
Tickets must not be duplicated, copied, altered, resold for profit, or used to falsify entry or purchase.
A ticket may only be transferred before horse allocation if RDNHW is notified, the replacement entrant is eligible, and updated contact details are provided.
Tickets cannot be transferred after horse allocation has occurred.
7. Ticket-sale cap
RDNHW will not open additional sweeps or sell additional entries if doing so would cause total ticket sales to exceed the approved cap.
If an error causes entries to be sold beyond the cap, RDNHW may cancel and refund the affected entries.
8. Prizes
Prizes will be awarded separately for each sweep.
Prize categories may include:
1st place
2nd place
3rd place
Last place
Prize details for each sweep will be approved by the RDNHW committee and advertised before tickets are sold or before entrants complete their purchase.
Prize amounts may differ between the Titanium, Gold, Silver and Bronze Sweeps because the ticket prices differ.
The advertised prize amounts will not be reduced after tickets have been sold, except where a sweep is cancelled, refunded or otherwise adjusted in accordance with these Terms and Conditions.
Each prize applies only to the sweep in which the entrant purchased a ticket.
9. Incomplete sweeps
Prize details are based on full 24-entry sweeps.
If a sweep has not sold all 24 entries by the closing time, RDNHW may:
1. Extend sales for that sweep, provided the overall ticket-sale cap is not exceeded;
2. Transfer entrants into another sweep of the same ticket price, where available; or
3. Cancel that sweep and refund affected entrants.
Entrants will not be moved into a different ticket-price sweep without their consent.
10. Horse allocation
Horse allocations will occur after the final Melbourne Cup field has been confirmed.
Each full sweep will have 24 entrants and 24 Melbourne Cup runners. Each entrant will be randomly allocated one horse in their sweep.
Each sweep will be allocated separately. For example, Sweep A will have its own 24 entrants and its own horse allocation, Sweep B will have its own 24 entrants and its own horse allocation, and so on.
The random allocation will be conducted by RDNHW and witnessed by at least two people.
The allocation record will show:
Sweep letter
Ticket or booking number
Entrant name
Ticket price
Allocated horse
Contact details
Prize result, if applicable
Horse allocations will be emailed, phoned or otherwise advised to entrants before the race, where practicable.
Entrants cannot choose, request, swap, sell or transfer their allocated horse after allocation.
11. Scratchings
Scratchings are all-in.
If an entrant’s allocated horse is scratched after horse allocation has been completed, the entrant will not receive a refund and will not be allocated another horse.
Entrants should only purchase a ticket if they accept that scratchings are all-in.
12. Determining winners
Prize winners will be determined according to the official Melbourne Cup finishing result.
For each sweep:
The 1st place prize goes to the entrant allocated the horse officially placed 1st.
The 2nd place prize goes to the entrant allocated the horse officially placed 2nd.
The 3rd place prize goes to the entrant allocated the horse officially placed 3rd.
The last-place prize goes to the entrant allocated the horse officially placed last among official finishers.
A horse that is scratched, disqualified, fails to finish, is declared a non-runner, or is otherwise not officially placed as the last finisher will not win the last place prize, unless the official result records that horse as the last placed horse.
RDNHW may wait until official placings are confirmed before announcing or paying prizes.
13. Dead heats and amended results
If a dead heat affects a prize position, RDNHW will follow the official race result.
If two or more horses share a prize position, the relevant prize amounts for the affected places may be combined and divided equally between the relevant winning ticket holders.
If the official result is amended before prizes are paid, RDNHW will use the amended official result.
If the official result is amended after prizes have already been paid, RDNHW is not required to recover or reissue prizes unless required by law.
14. Prize payment
Prize winners will be contacted using the details provided at the time of booking.
Prizes will be paid by cash, bank transfer or another method approved by RDNHW.
RDNHW will aim to pay prizes as soon as reasonably practicable after the official result is confirmed.
Prizes will be delivered within one month of the winners being decided, unless the prize winner agrees otherwise or RDNHW cannot locate the prize winner after making reasonable efforts.
Prize winners may be asked to provide identification or bank details before payment is made.
15. Refunds and cancellations
Refunds will not be provided for a change of mind.
Refunds may be provided if:
A sweep is cancelled.
An entry was sold in error.
An entrant is ineligible;
An entry is cancelled before horse allocation; or
RDNHW determines that a refund is required to correct an administrative error.
No refund will be issued for a scratched horse once horse allocation has occurred.
If the fundraiser cannot proceed as advertised, RDNHW will offer affected entrants a refund or another suitable option.
16. Results
RDNHW will make sweep results available to entrants after the Melbourne Cup result has been confirmed.
Results may be published by email, community notice, RDNHW social media, newsletter or another RDNHW communication channel.
Public results may include the sweep letter, sweep name, winning horse, prize category and winner’s first name or initials.
Full contact details will not be publicly published.
17. Privacy
Personal information collected for the sweeps will be used to:
process entries;
allocate horses;
contact entrants;
notify prize winners;
pay prizes;
maintain required records; and
report to the RDNHW committee.
RDNHW will not sell entrant contact details.
Entrant details may be disclosed where required by law, regulation, audit, banking process or TryBooking administration.
If entrants consent to receive future RDNHW communications, they may opt out at any time by contacting RDNHW.
18. Records
RDNHW will keep records of ticket sales, horse allocations, prize winners, prize payments, expenses and proceeds.
Records will be kept for five years unless a shorter period is permitted by the relevant authority.
19. Platform and organiser responsibility
TryBooking is used as the ticketing platform only.
This event is created and managed by RDNHW. RDNHW is responsible for the conduct of the sweeps, ticket-sale cap, horse allocation, prize details, winner notification and prize payment.
Tickets are also subject to TryBooking’s customer terms and privacy policy.
20. No endorsement
The RDNHW Melbourne Cup Community Sweeps 2026 are organised by RDNHW.
The sweeps are not sponsored, endorsed or administered by the Victoria Racing Club, the Melbourne Cup, TryBooking or any racing authority, unless expressly stated by RDNHW.
TryBooking is used as the ticketing platform only.
21. Committee decision
RDNHW’s decision is final in relation to the administration of the sweeps, horse allocation, prize eligibility and prize payment, subject to applicable law.
22. Acceptance of terms
By purchasing a ticket, entrants confirm that they:
are 18 years or over;
have provided accurate contact details;
understand which sweep they have entered;
accept the advertised prize details;
accept that scratchings are all-in; and
agree to these Terms and Conditions.
TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.
