Terms and Conditions for Attending or Participating in Riverdowns Neighbourhood Watch Events

By registering for, purchasing a ticket to, attending, volunteering at, or participating in a Riverdowns Neighbourhood Watch event, you agree to the following Terms and Conditions.

1. Event Organiser

In these Terms and Conditions, “Event Organiser”, “we”, “us” and “our” mean Riverdowns Neighbourhood Watch and its authorised volunteers, committee members and representatives.

These Terms and Conditions apply to Riverdowns Neighbourhood Watch events, including community meetings, fun days, family events, fundraising activities, raffles, stalls, workshops, social gatherings, safety events, promotional events and other activities organised or supported by Riverdowns Neighbourhood Watch.

2. Ticketing and Registration

Some events may require pre-registration, even where the event is free. Entry may be refused where a person has not registered, does not hold a valid ticket, or where event capacity has been reached.

If you are unable to attend an event you have registered for, be sure to get in touch with us as soon as possible so your place may be released to someone else, including anyone on a waitlist.

Tickets must not be duplicated, copied, altered, resold for profit, or used to falsify entry or purchase.

Tickets to free events may still require registration for planning, safety, catering, venue capacity, attendance management or communication purposes.

For paid events, refunds are available only at the discretion of the Event Organiser, except where a refund is required by law.

Food, drink, coupon, merchandise, or retail-item tickets purchased for a Riverdowns Neighbourhood Watch Fun Day or similar event are non-refundable, except as required by law. These tickets are transferable, meaning you may pass them on to another person attending the event.

Where a ticket entitles the holder to a coupon, food item, drink item, merchandise item, retail item or other event inclusion, the ticket may be exchanged at the event check-in desk or nominated collection point on the day of the event.

The Event Organiser reserves the right to refuse entry, cancel a ticket, or remove an attendee where reasonably necessary for safety, capacity, compliance, behaviour management, ticketing issues, venue requirements or event operations.

3. Event Changes, Weather and Cancellation

Events may proceed in rain or other minor weather conditions.

In the event of severe weather, emergency, safety concerns, venue issues, volunteer availability, supplier issues, low attendance, public health concerns, technical issues, traffic or access issues, or other circumstances beyond our reasonable control, the Event Organiser may cancel, postpone, relocate, shorten, delay, reschedule or alter the event.

We will make reasonable efforts to notify registered attendees of any cancellation or significant change using the contact details provided at registration.

Where an event is cancelled or significantly changed, any refunds or remedies will be handled in accordance with these Terms and Conditions and applicable law.

The Event Organiser is not responsible for costs or losses incurred by attendees in connection with event cancellation or changes, including travel, accommodation, parking, personal arrangements or other expenses, except where required by law.

The ACCC states that consumers may be entitled to a refund where an event organiser chooses to cancel or makes a major change to an event.

4. Volunteer-Run Events and Human Error

Riverdowns Neighbourhood Watch events are organised and run by volunteers. While we make reasonable efforts to plan and deliver events safely and smoothly, mistakes, delays, changes, omissions or unexpected issues may occur.

We ask attendees to show patience, kindness and understanding if plans need to change or if human error occurs.

The Event Organiser may make reasonable changes on the day of the event to address safety, operational, weather, staffing, supplier, venue or community needs.

5. Safety, Risk and Liability

By attending or participating in an event, you agree to take reasonable care for your own safety and the safety of others.

Attendees must follow all reasonable directions given by the Event Organiser, event volunteers, venue staff, emergency services, security staff, activity providers, stallholders or other authorised persons.

Attendees are responsible for considering whether an event, activity, food item, physical activity, environment or third-party service is suitable for their own health, mobility, medical needs, allergies, dietary needs, personal circumstances and level of ability.

Attendees are responsible for their own personal belongings. The Event Organiser is not responsible for lost, stolen or damaged personal property, except where required by law.

To the extent permitted by law, the Event Organiser is not liable for any injury, illness, damage, loss, theft, expense, delay, inconvenience or claim suffered by any person in connection with attending or participating in an event.

Nothing in these Terms and Conditions excludes, restricts or modifies any rights or guarantees that cannot be excluded under Australian law.

6. Child Safety, Young People and Family Responsibilities

Riverdowns Neighbourhood Watch is committed to providing events that are safe, welcoming, inclusive and respectful for children, young people and families.

For these Terms and Conditions, a child or young person means a person under 18 years of age.

Children and young people must be supervised by a parent, guardian or responsible adult at all times while attending the event, unless an activity is expressly advertised as a supervised child activity provided by the Event Organiser or an authorised third-party provider.

Parents, guardians and responsible adults remain responsible for the care, supervision, behaviour, safety and well-being of children and young people in their care while attending the event.

Children must not be left unattended at the event, including in activity areas, playgrounds, toilets, food areas, car parks, entry points, queues, surrounding public spaces or near roads.

Event volunteers may provide general directions, assistance and event support, but they do not assume parental, guardian, babysitting or child-minding responsibility for children attending the event.

Where children’s activities are provided, children and parents, guardians or responsible adults must follow all reasonable instructions given by the Event Organiser, volunteers, activity providers, stallholders, venue staff, emergency services, security staff or other authorised persons.

The Event Organiser may refuse a child’s participation in an activity, or require a child to leave an activity area, where reasonably necessary for safety, behaviour management, age suitability, capacity, venue requirements, legal compliance or event operations.

Volunteers and third-party providers involved in child-related activities must comply with any applicable child safety, Blue Card, working with children, supervision, reporting and legal requirements.

Any concern about the safety, welfare or well-being of a child or young person at the event should be reported immediately to the Event Organiser, an event volunteer, venue staff, security staff or emergency services.

If a child appears to be lost, distressed, injured, unsupervised or at risk, the Event Organiser may take reasonable steps to assist the child, locate their parent, guardian or responsible adult, contact emergency services, or contact relevant authorities where appropriate.

In an emergency, or where a child is in immediate danger, attendees should call Triple Zero on 000.

Nothing in this section limits any obligation the Event Organiser, volunteers, attendees or third-party providers may have under Queensland law.

7. Behavioural Expectations

We ask all attendees to help maintain a friendly, respectful, safe and positive community atmosphere.

Abusive, threatening, discriminatory, unsafe, disruptive, intoxicated, aggressive or inappropriate behaviour may result in refusal of entry or removal from the event at the discretion of the Event Organiser.

Attendees must not interfere with event activities, volunteers, equipment, stallholders, emergency access, neighbouring properties, venue facilities or other attendees.

Attendees must not damage property, misuse equipment, enter restricted areas, obstruct pathways, harass others, or behave in a way that creates an unreasonable risk to themselves or others.

The Event Organiser may contact police, security, venue staff or emergency services where behaviour creates a safety concern or may involve unlawful conduct.

8. Photography, Video and Media

By attending an event, you acknowledge that photographs, video footage or audio recordings may be taken during the event.

These images and recordings may be used by Riverdowns Neighbourhood Watch for promotional, community, reporting, social media, website, newsletter, print, funding, historical or archival purposes.

If you do not wish to be photographed or recorded, please notify the Event Organiser or event volunteers at check-in. We will make reasonable efforts to accommodate your request, but we cannot guarantee that you will not appear incidentally in crowd, background or general event images.

For children and young people, parents and guardians may request that children in their care not be photographed or recorded. We will make reasonable efforts to respect this request, but we cannot guarantee that a child will not appear incidentally in crowd, background or general event images.

Attendees must not take photographs, video or audio recordings in toilets, changing areas, first aid areas, private areas, or any place where photography or recording would be inappropriate, unsafe or unlawful.

The Event Organiser may ask an attendee to stop photographing, filming or recording if it creates a privacy, safety, child safety, behavioural or operational concern.

9. Third-Party Providers, Activities and Purchases

Some events may include third-party providers, stallholders, entertainers, food vendors, activity operators, sponsors, emergency services, community organisations or contractors.

By participating in third-party activities or purchasing goods or services from third parties, you may be subject to their own terms, conditions, rules, policies, prices, safety requirements, refund policies and privacy practices.

The Event Organiser is not responsible for third-party goods, services, conduct, claims, warranties, refunds, injuries, losses, representations or disputes, except where required by law.

It is your responsibility to review and follow any terms and conditions that apply to third-party activities, purchases or services.

The Event Organiser may remove or suspend a third-party activity where reasonably necessary for safety, child safety, compliance, behaviour management, venue requirements or event operations.

10. Food, Allergies and Dietary Requirements

Food and drink may be available at some events through Riverdowns Neighbourhood Watch, volunteers, food vendors, stallholders or third-party providers.

While reasonable care may be taken, the Event Organiser cannot guarantee that food or drink will be free from allergens, cross-contamination or specific ingredients.

Attendees are responsible for checking whether any food or drink is suitable for their own allergies, intolerances, dietary requirements, medical conditions, religious requirements or personal preferences.

Parents, guardians and responsible adults are responsible for checking whether food or drink is suitable for children in their care.

Any food allergy or dietary concern should be raised directly with the relevant food provider before consuming food or drink.

11. Smoking and Vaping

Smoking and vaping must comply with Queensland law, venue requirements, event signage and any directions given by the Event Organiser.

Smoking, including the use of electronic cigarettes or vapes, is not permitted in smoke-free areas. This may include eating and drinking areas, public transport waiting points, areas near children’s playground equipment, public skate parks, under-18 sporting or recreational areas, outdoor market entrances and exits, and other places where smoking or vaping is banned.

Attendees who smoke or vape must do so only in permitted areas and must dispose of waste safely and responsibly.

Queensland Government guidance states that smoking, including the use of electronic cigarettes, is banned in some outdoor public areas, eating and drinking venues, education facilities, healthcare facilities and other smoke-free places.

12. Raffles, Competitions and Prize Draws

Where raffles, lucky door prizes, competitions, giveaways or prize draws are offered at an event, separate terms and conditions may apply.

All raffles, competitions and prize draws will be conducted in accordance with applicable Queensland laws and any event-specific draw rules.

People directly involved in conducting a draw, and any other person ineligible under applicable law or event-specific draw rules, may not be eligible to enter that draw.

Prizes are not redeemable for cash unless expressly stated.

The Event Organiser will make reasonable efforts to contact prize winners using the details provided. Unclaimed prizes will be handled in accordance with applicable law and any event-specific draw terms.

Queensland Government guidance states that raffles, art unions, lucky envelopes, sweeps, bingo and promotional games are regulated under Queensland charitable and non-profit gaming laws, and some categories require a licence.

13. Marketing and Event Communications

By registering for or purchasing a ticket to an event, you agree to receive communications from the Event Organiser about that event. These may include event confirmations, updates, reminders, changes, cancellations, safety information and post-event information.

You may also choose to receive information about future Riverdowns Neighbourhood Watch events, community updates, activities or initiatives.

You may unsubscribe or opt out of marketing communications at any time where an unsubscribe or opt-out option is provided.

Service or operational messages about an event you registered for may still be sent where reasonably necessary to manage your booking, attendance, safety or event participation.

ACMA guidance says marketing emails and messages generally require consent, must identify the sender, must include contact details and must make it easy to unsubscribe.

14. Privacy and Personal Information

The Event Organiser may collect personal information for event registration, attendance management, ticketing, safety, communications, volunteer coordination, incident management, raffles, competitions, reporting, insurance or legal compliance.

Personal information may include names, contact details, ticket information, attendance information, emergency information, photographs, video recordings, competition entries, raffle details or incident records.

The Event Organiser will take reasonable steps to handle personal information respectfully and only use or disclose it for reasonable event-related, safety, administrative, legal, reporting or community purposes.

Personal information may be shared where reasonably necessary with event organisers, authorised volunteers, venue operators, ticketing providers, third-party service providers, emergency services, police, insurers, legal advisers or relevant authorities.

15. Accessibility and Inclusion

Riverdowns Neighbourhood Watch aims to make events welcoming and accessible where reasonably practical.

Attendees with accessibility needs, mobility needs, communication needs, medical needs or other support requirements are encouraged to contact the Event Organiser before the event so reasonable arrangements can be considered.

The Event Organiser may not be able to accommodate every request, particularly where a request is made late, depends on venue limitations, requires specialist support, or is outside the control of the Event Organiser.

16. Compliance with Laws and Venue Rules

Attendees must comply with all applicable laws, venue rules, event signage, safety directions and reasonable instructions given by the Event Organiser or authorised persons.

This may include laws and rules relating to child safety, smoking and vaping, alcohol, food safety, raffles and fundraising, traffic and parking, photography, privacy, public safety, emergency management and behaviour in public places.

Where these Terms and Conditions conflict with applicable law, the applicable law will prevail to the extent of the inconsistency.

17. Updates to These Terms

The Event Organiser may update these Terms and Conditions from time to time.

The version published or provided at the time of registration, ticket purchase or event attendance will apply unless otherwise stated.

Changes may be made to reflect event requirements, venue requirements, legal obligations, safety requirements, operational needs or improvements to event management.

18. Acceptance

By registering for, purchasing a ticket to, attending, volunteering at, or participating in a Riverdowns Neighbourhood Watch event, you acknowledge that you have read, understood and agree to these Terms and Conditions.

For children and young people attending an event, the parent, guardian or responsible adult attending with them is responsible for ensuring these Terms and Conditions are followed.
