Terms and Conditions

Stall Criteria
At the discretion of CLAY.made upon application for this market.

Payments
It is the stall holder’s responsibility to pay by the due date using the online payment link supplied. The event does not accept cash payments or bank transfers.
A receipt will be issued upon payment of stall fees. Failure to pay by the due date your stall site may not guaranteed.

Day / Time of event
Meeniyan Town Hall, January 7th 2024 10am – 2pm
Stall holders are expected to maintain their stall open until the close of the event. If a stall is sold out, it will display a “Sold out” sign until the close of the event.

Bump-in process
Stallholders will be provided with information about their stall location and proposed layout before the event date. There will be access to the Hall from 8.30am and stallholders are required to be set up and their vehicles moved 9.30am, ready for trade by 10am.

Stall Fees and Charges
Stall fees and charges as indicated in the application form are determined by the CLAY.made and are not up for negotiation.
This is a not for profit event. Stall fees contribute towards running costs of the Market and future related events. Any surplus monies will be donated to a local community organisation.

Refund Policy
Cancellations can only be made by notifying the Event Coordinator via email to CLAY.madesouthgippsland@gmail.com
Only cancellations received 2 weeks prior to the event will be eligible for a full refund at the organisers discretion.

Stall Sites (general)
The event coordinator alone has the authority to allocate and relocate sites and the event coordinator’s decision is final.
Stall holder site allocation will be optimised to meet the business and safety demands of the event, ensure optimum exposure for all stall holders and to preserve the condition of the hall. All site boundaries must be adhered to for the comfort of all who attend the event.
All stall holders are responsible for the removal of any rubbish generated by their stall.
The event does not provide a service to take electronic payments on behalf of a stallholder or to change cash (notes, coin).

Safety and security considerations
Persons under the age of 18 years are not permitted to operate a stall unless accompanied by a supervising adult.
Stall holders are reminded that their stall is a workplace, and they are obligated to comply with all relevant permits and regulations to operate the stall safely; this includes, but is not limited to, work practices, OH&S policies and similar requirements/ regulations.
Stall holders must not block pedestrian walkways or disrupt pedestrian traffic. To ensure the safety of the public and other stall holders, all goods and signage is to remain within the boundary of the stall site unless otherwise approved by the event coordinator. All stall holders are to make sure that all equipment brought to the event is used and erected securely and always operated in a safe and responsible manner.

Stallholder code of conduct
Stall holders are responsible for the security of their designated site. The organisers accept no responsibility for the theft, loss or damage of a stall holder’s goods or equipment, however caused.
Stall holders must at all times maintain appropriate and respectful conduct towards one another, the public and the event volunteers. The event coordinator reserves the right to remove any stall holder acting or behaving inappropriately. The same obligation rests with event volunteers toward the public and stall holders.
The event coordinator or an authorised event volunteer has the right to enter any stall site at any time in the course of the event to cause to be removed any article, sign, picture, or printed matter which, in our opinion, could reasonably be considered offensive. Non-compliance by a stall holder with such a request will be considered grounds for being barred from the event.
Insurance
All stall holders must hold current public liability insurance (PLI)to a minimum of AUD $20,000,000. Evidence of current PLI cover must be provided to the event coordinator upon application.
Please ensure that your PL insurance covers you for market-type activities.
The offerings of products by the stall holder within the event precinct and duration does not constitute endorsement of the product by the Market. The stall holder is solely responsible for the performance of their products and any product liability insurance, consumer law remedies, warranties, expressed or implied, that accompany the sale of the product.
Publicity
Stall holders will be asked, upon application to join the event, to agree to participate in any photographic record of the event being captured and the subsequent use of those images in material, printed or electronic, to advertise and promote the event.
By providing images of their products in the Stallholder Information/Application Form, stall holders agree that the organisers of the Arts Trail Sale can use those same images to effectively advertise the event and the stall holders in it.

Stall holders agree to be bound by these terms and conditions at the time of making payment.
Stall holders also agree to any subsequent modifications and updates to these terms and conditions, unless a specific objection to said subsequent modifications or updates is lodged by email with the event coordinator. If no solution to the stall holder’s objection can be reached with the event coordinator, the stall holder is free to withdraw from the event.


TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.

All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the “Event Organiser” and not that of TryBooking Pty Ltd (Australian Business Number 71126987915).
