REFUNDS /CHANGE OF MIND/ILLNESS
Refunds are available for change of mind up until 4 days before each program date. Refunds for change of mind will incur a 10% admin fee.
Extended illness or injury leading up the program needs to be communicated to the Club in writing. Children unable to attend due to these reasons will be entitled to a refund, minus a 5% admin fee. Medical certificates may be required.
Cancellations within 4 days of the program will not receive a refund, due to program costs being finalised (staffing/materials) If there are extenuating circumstances (i.e. compassionate grounds) within 3 days of the program this should be communicated to the Club in writing. These situations will be dealt with on a case-by-case basis.
As a non-profit organisation that strives to keep prices as low as possible to ensure that children stay in sport we rely and expect parents/guardians to be honest in regard to injury/illness and compassionate refund requests.
CHANGE OF DATES
Parent/guardians must organise with other parents if their children would like to attend on the same day. Change of day is not possible after booking so communication within friendship groups should be done prior to the point of booking.
ALLERGENS
The Club requests that parents/guardians not pack any nuts or nut-based products for children. In the interests of safety of all involved in this event, please ensure that products containing nuts are not brought on the day/s you have booked.
PUNCTUALITY/ATTENDANCE/PARTICIPATION
All programs have been designed to ensure the safety of all participants. It is the parent/carers responsibility to ensure they arrive in time for the commencement of the event. A warm-up is a vital component prior to physical exercise.
It is the parent/carers responsibility for the prompt collection of children after the event and supervision before the commencement of the event. The program commences at 11.00am and finishes at 2.00pm. (Unless a late pick up has been booked).
If the person(s) responsible for drop off/pick up of children changes to the person(s) stated at the time of booking parents/guardians must update the club in writing before the day or in person on the day.
Noosa Gymnastics Club Holiday Programs Code of Conduct
Club responsibilities:
Provide child-friendly programs that appropriately cater for the needs of the children involved.
Provide safe equipment that is regularly check for participants usage.
Ensure that staff treat all children with kindness and respect and use kind, firm, fair discipline techniques where required.
Provide trained and accredited staff experienced in delivering gymnastics programs to children.
Ensure that all employees and volunteers have been checked in accordance with the QLD Child Protection Act 1999.
Provide an environment that is free from bullying and harassment and if bullying and/or harassment is recognised, all efforts will be made to appropriately manage the situation.
If necessary, first aid is applied to any participant that requires it by a qualified first aid officer.
Provide adult supervision to children when taking part in pool play at the Noosa Aquatic Centre.
Attendee/Parent/Caregiver Responsibilities:
Ensure that children arrive and are picked up on time.
Ensure that all children understand how to partake in a way that enables the enjoyment of all involved.
Ensure that all children understand they need to follow directions of Club staff with respect.
Ensure that children are aware that they are required to practice appropriate water safety during time spent at Noosa Aquatic Centre and that they are also required to wear Club swim at all time while at the Aquatic Centre.
Ensure that Noosa Gymnastics Club rules and regulations in regard to activity and safety are adhered to.
If changes are made to any details provided at the time of booking that these will be clearly communicated prior to the event by phone or email to the Club.
Lost Property
Children will be responsible for their own belongings. We advise children not to bring any valuables with them (Watches, phones, iPads, toys etc.). Noosa Gymnastics Club will not be held responsible for the loss of any property including electronic devices. It is recommended that all belongings are labelled with the children's names.
Medical Clearance and Consent
If your child has a medical condition, you must complete the medical condition section of our online registration form. You must give full details of medical conditions (e.g. Epilepsy, asthma etc) or physical injury (e.g. sprain, broken bone etc) which may have an impact on your child's participation in the program. Information will be used to ensure the safest learning environment for your child.
If your child has a medical condition, you are strongly advised to seek a registered medical practitioner's advice before booking into an event due to the nature of physical activity during our events.
If your child has a medical condition and is unable to obtain clearance from a registered medical practitioner then he/she cannot register for the event.
In the event of an accident or illness, the parent/guardian authorises any medical assistance/hospital treatment that your child may require.
Booking this program authorises the Club to release healthcare information as stated by you on the registration form to any health care professionals that may need to deal with your child in the event of illness or emergency.
By enrolling your child/children, you declare that your child/children are fit to participate in all activities.
Except as otherwise expressly required by law, the Club does not accept any liability for personal injury, property damage or loss sustained by any participant because of his or her participation in a camp due to any cause whatsoever unless caused by the proven negligence of Noosa Gymnastics Club.
If you have stated in the online form any medical condition or special needs that warrant specific medication (Eg: EpiPen/Asthma) it is the responsibility of the parents/guardians to supply any medication/s required for that particular child. All medication must be labelled with the child’s full name, dosage amount and instructions and a form must be filled out on the morning of the camp.
I acknowledge that my child will not attend the camp if suffering from infectious or communicable disease as identified by the Department of Health.
Safety Rules and Regulations
You understand that it is expected that your child’s behaviour will be exemplary at all times in order for the safe conduct of the event.
If at any time the supervisor/coach considers your child is continuously jeopardising the safety of others and/or disrupting the event by means of bullying or not following general and safety instructions, then he/she will be given a time out. If the behaviour continues the child may be asked to stop participating until further notice. If this happens the Club will contact parents/guardians to provide a full report of the incident.
I authorise staff to help apply sunscreen to my child if required.
Privacy Notice
Noosa Gymnastics Club is collecting personal information in the booking form to:
Obtain lawful consent for your child to participate in the program
Help coordinate the program
Respond to any injury or medical condition that may arise during or as a result of the activities taking place in the program
The information provided will only be accessed by Noosa Gymnastics Club authorised employees and will be dealt with in accordance with the confidentiality requirements of the Information and Privacy Act 2009 (Qld).
Information provided will not be disclosed to any other person or agency unless it is for the purposed stated above, the disclosure is required by law, or you have given Noosa Gymnastics Club permission for the information to be disclosed.
Informed Consent
By submitting any registration forms online, you give your consent that you have read in its entirety, understand and accept all terms and conditions and code of conduct. Submitting the online form is classed as consent.
