REFUNDS, CANCELLATIONS, AND CHANGES
Refunds for change of mind are permitted up to six days before each program date. These refunds are subject to a 10% administration fee.
Cancellations made within six days of the program will not be refunded, as program costs—including staffing and materials—are finalized. With mutual agreement, event fees (minus a 10% administration fee) may be able to be credited toward tuition for the next gymnastics term. Credits must be used in the term after the school holiday program; unused credits will be forfeited.
If an attendee cannot attend due to illness or injury, the Club must be notified in writing. In such cases, a refund will be provided, less a 5% administration fee. Medical certificates may be required.
Cancellations based on extenuating circumstances (such as compassionate grounds) within seven days of the program should be communicated in writing to the Club. Each situation will be assessed individually.
As a non-profit organization committed to keeping prices accessible so children can participate in sports, the Club relies on the honesty of parents and guardians regarding illness, injury, and compassionate refund requests.
CHANGE OF DATES
Parents and guardians are responsible for coordinating with others if children wish to attend the program together. Once booked, changes of date are not possible, so communication within friendship groups should occur prior to booking. For extenuating circumstances, a change of date can be requested to the Club and if considered appropriate may be granted. This may be subject to a 5% administrative fee.
ALLERGENS
Parents and guardians must ensure that no nuts or nut-based products are packed for children. For the safety of all attendees, please avoid bringing products containing nuts on any booked program day.
PUNCTUALITY, ATTENDANCE, AND PARTICIPATION
Programs are designed with participant safety in mind. It is the responsibility of parents and guardians to ensure children arrive on time for the event’s commencement and are collected promptly afterward. Supervision is required before the event begins. The standard program operates from 8:30 am to 3:30 pm, unless a late pickup has been arranged.
If there are changes to the individuals responsible for drop-off or pickup, parents and guardians must inform the Club in writing before the day or notify staff in person on the day.

CLUB RESPONSIBILITIES
• Provide child-friendly programs tailored to the needs of participants.
• Maintain and regularly check safe equipment for use.
• Ensure staff treat all children with kindness and respect, employing fair discipline as necessary.
• Employ trained and accredited staff experienced with children’s gymnastics programs.
• Comply with the QLD Child Protection Act 1999 for all employees and volunteers.
• Provide an environment free from bullying and harassment, with appropriate management if incidents arise.
• Administer first aid by a qualified officer when required.
• Supervise children during pool play at the Noosa Aquatic Centre.
ATTENDEE, PARENT, AND CAREGIVER RESPONSIBILITIES
• Ensure children arrive and are collected on time.
• Help children understand how to participate respectfully and enjoyably.
• Ensure children follow directions from Club staff with respect.
• Teach children to practice appropriate water safety and wear Club swimwear at the Noosa Aquatic Centre.
• Adhere to Noosa Gymnastics Club rules and safety regulations.
• Communicate any changes to booking details before the event by phone or email.
LOST PROPERTY
Children are responsible for their own belongings. It is recommended not to bring valuables such as watches, phones, iPads, or toys. Noosa Gymnastics Club is not liable for lost property, including electronic devices. Label all belongings with children’s names.
MEDICAL CLEARANCE AND CONSENT
Medical conditions must be disclosed in the online registration form, including any details that may affect participation. This information ensures a safe learning environment.
Seek advice from a registered medical practitioner before booking if your child has a medical condition. Children who cannot obtain clearance from such a practitioner are not eligible to register.
In the event of illness or accident, parents or guardians authorize all medical assistance or hospital treatment required.
Booking the program authorizes the Club to share healthcare information from the registration form with health professionals if needed during illness or emergencies.
Enrolling in the program signifies your child's fitness for all activities.
Except where otherwise required by law, the Club is not liable for personal injury, property damage, or loss resulting from participation, unless caused by proven negligence.
Parents and guardians must supply any medication required for children with special needs or medical conditions, clearly labelled and accompanied by instructions.
Children must not attend if suffering from infectious or communicable diseases as identified by the Department of Health.
SAFETY RULES AND REGULATIONS
Children are expected to demonstrate exemplary behaviour at all times to ensure a safe event.
If a supervisor or coach determines that a child’s behaviour jeopardizes safety or disrupts the event through bullying or disregard for instructions, the child will receive a time out. Continued disruptive behaviour may result in temporary exclusion from participation, with parents or guardians notified and provided with a full incident report.
Staff are authorized to help apply sunscreen to children when needed and at the request of the child and with their consent.
PRIVACY NOTICE
Noosa Gymnastics Club collects personal information via the booking form to:
• Obtain lawful consent for program participation
• Coordinate the program effectively
• Respond to injuries or medical conditions arising during activities
Information will be accessed only by authorized Club staff and handled per the confidentiality requirements of the Information and Privacy Act 2009 (Qld). Disclosure occurs only as required by law or with explicit parental consent.
INFORMED CONSENT
Submitting the online registration form signifies that you have read, understood, and accepted all terms, conditions, and the code of conduct. Submission is considered consent.
