Pasifika Families Inc. (PFI) – Event Terms & Conditions
By registering for, attending, or participating in any event, workshop, program, meeting, gathering, consultation, training session, festival activity, or community initiative organised, hosted, facilitated, or delivered by Pasifika Families Inc. (PFI), you agree to the following Terms & Conditions.
1. Event Participation
1.1 PFI events may be held indoors, outdoors, online, or in mixed environments depending on the nature of the activity.
1.2 Event details, including venue, date, time, facilitators, activities, presenters, performers, and program content, are subject to change without notice where reasonably necessary.
1.3 PFI reserves the right to postpone, reschedule, relocate, modify, or cancel an event due to circumstances beyond its reasonable control, including but not limited to weather conditions, venue availability, facilitator availability, safety concerns, emergencies, or other unforeseen circumstances.
1.4 Participants are responsible for reviewing the event description and bringing any materials, equipment, documentation, food, beverages, clothing, or personal items specified as required for participation.
1.5 Where participants are required or permitted to supply their own materials, equipment, tools, resources, or other items for use during an event or activity, those items remain the responsibility of the participant.
1.6 Participants are responsible for ensuring that any materials, equipment, tools, resources, or other items they bring are suitable, safe, lawful, and appropriate for the intended activity.
1.7 PFI, its facilitators, volunteers, employees, contractors, and authorised representatives reserve the right to inspect, restrict, refuse, remove, or prohibit the use of any participant-supplied materials, equipment, tools, resources, or other items that are considered unsafe, unsuitable, inappropriate, disruptive, unlawful, or likely to cause harm, damage, injury, offence, or unreasonable inconvenience to any person, property, venue, or activity.
1.8 Participants acknowledge that the quality, appearance, functionality, durability, and overall outcome of any item created, modified, displayed, or produced during an activity may be influenced by the materials, equipment, tools, resources, and skill level of the participant. PFI makes no representation or guarantee regarding the final outcome of any participant-created item or project.
1.9 Participants acknowledge that some activities may involve practical, physical, creative, cultural, recreational, educational, discussion-based, wellbeing-focused, or community engagement components and agree to participate responsibly and within their own capabilities.
2. Health, Wellbeing & Personal Responsibility
2.1 Participants attend and participate at their own risk.
2.2 Participants are responsible for managing their own health, medical, dietary, accessibility, support, and wellbeing requirements unless expressly stated otherwise by PFI.
2.3 Participants should not participate in any activity that exceeds their physical, emotional, mental, or personal capabilities.
2.4 Participants are responsible for informing organisers of any significant accessibility, support, or safety requirements that may affect their participation.
3. Children & Young People
3.1 Children and young people under 18 years of age remain the responsibility of their parent, guardian, authorised carer, or support person unless the event specifically provides supervised activities and this has been clearly communicated by PFI.
3.2 Parents, guardians, carers, and support persons are responsible for supervising children and young people in their care and ensuring their safety and appropriate behaviour.
4. Liability & Assumption of Risk
4.1 Participants acknowledge that participation in community events carries inherent risks and voluntarily accept responsibility for their participation.
4.2 To the fullest extent permitted by law, PFI, its committee members, employees, contractors, volunteers, facilitators, partners, sponsors, venue providers, collaborating organisations, and supporting organisations are not liable for any loss, damage, injury, illness, accident, delay, inconvenience, or expense arising from participation in an event.
4.3 Participants are responsible for their own personal belongings. PFI accepts no responsibility for lost, stolen, or damaged property.
5. Photography, Video & Media Release
5.1 PFI may photograph, film, livestream, record, or otherwise capture images, audio, and video during events.
5.2 By attending a PFI event, participants grant PFI permission to use photographs, audio recordings, video recordings, and other media featuring them for promotional, educational, reporting, archival, marketing, funding, community engagement, organisational, and historical purposes.
5.3 Media may be used across PFI's communication channels, including websites, social media platforms, newsletters, reports, publications, presentations, grant acquittals, promotional materials, and future event marketing.
5.4 PFI retains all intellectual property rights in media captured by or on behalf of PFI.
5.5 Participants who do not wish to be photographed, filmed, or recorded should advise event organisers upon arrival. While PFI will make reasonable efforts to accommodate such requests, this may not always be possible in public, shared, or group settings.
6. Behaviour & Community Standards
6.1 Participants agree to behave respectfully towards organisers, facilitators, volunteers, venue staff, presenters, performers, and fellow attendees.
6.2 Participants must comply with all lawful directions given by PFI representatives, venue personnel, emergency services personnel, and authorised staff.
6.3 Harassment, discrimination, bullying, threatening behaviour, intoxication, violence, unlawful activity, or conduct that places others at risk will not be tolerated.
6.4 PFI reserves the right to refuse entry, remove participants, or terminate participation without refund where behaviour is considered unsafe, disruptive, inappropriate, unlawful, or contrary to the objectives of the event.
7. Registration, Tickets & Entry
7.1 Some events require advance registration, booking, ticket purchase, RSVP, application, approval, or check-in. Requirements will be specified in the event description.
7.2 Where registration or booking is required, participants should register prior to attending. Attendance may be limited by venue capacity, program requirements, age restrictions, safety considerations, facilitator ratios, available resources, or other operational constraints.
7.3 Registration, booking, ticket purchase, RSVP confirmation, or possession of a ticket does not guarantee entry where safety, compliance, behavioural, eligibility, venue, capacity, or operational requirements are not met.
7.4 Participants may be asked to present a booking confirmation, ticket, QR code, receipt, identification, concession evidence, membership details, approval confirmation, or other documentation reasonably required to verify eligibility, registration, payment, attendance, or access rights.
7.5 Participants who arrive without a booking, registration, RSVP, approval, or ticket do so at their own risk. Admission may be refused if an event is fully booked, capacity has been reached, eligibility requirements are not met, or organisers are otherwise unable to safely accommodate additional attendees.
7.6 PFI reserves the right to refuse entry or participation where:
(a) registration requirements have not been met;
(b) eligibility requirements have not been met;
(c) payment has not been received where applicable;
(d) required documentation cannot be produced;
(e) the participant's behaviour is considered unsafe, disruptive, inappropriate, or unlawful; or
(f) admission would create safety, capacity, operational, compliance, or resource concerns.
7.7 Participants must not duplicate, alter, transfer, resell, misuse, share, or fraudulently reproduce tickets, confirmations, QR codes, credentials, wristbands, passes, or other event access mechanisms unless expressly authorised by PFI.
7.8 Unless otherwise specified, unused registrations, bookings, tickets, approvals, or reservations are not transferable to future events.
7.9 PFI reserves the right to implement event-specific registration, ticketing, check-in, identification, security, capacity management, admission, or attendance procedures where reasonably necessary.
8. Communications & Privacy
8.1 By registering for an event, participants consent to receiving communications relating to that event, including confirmations, reminders, updates, venue information, program changes, and post-event communications.
8.2 PFI will handle personal information in accordance with applicable privacy obligations and organisational policies.
9. Enquiries
9.1 For questions relating to a specific event, participants should contact the Event Organiser using the details provided in the event listing.
10. Agreement & Acceptance
By registering for, attending, or participating in a PFI event, you confirm that you:
✅ Have read, understood, and accepted these Terms & Conditions.
✅ Acknowledge and accept the risks associated with participation.
✅ Agree to comply with event rules, directions, and community standards.
✅ Consent to the Photography, Video, and Media Release provisions unless otherwise advised to organisers.
✅ Accept personal responsibility for your own safety, wellbeing, belongings, participation, and any materials, equipment, or items you bring to an event.
TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.
All issues relating to the sale of tickets and the hosting of their associated event(s) are the responsibility of the “Event Organiser” and not that of TryBooking Pty Ltd (Australian Business Number 71126987915).
