Terms & Conditions

By purchasing, receiving or using a ticket to Bollywood Sunset Social, you agree to these Terms & Conditions.

Venue: Novotel Cairns Oasis Resort
Event Organiser: GOPIO Cairns Inc.

1. Tickets and Entry

Tickets must be purchased or issued through an official booking channel authorised by GOPIO Cairns Inc.

Entry is permitted only with a valid ticket or confirmed booking. Guests may be required to present their ticket electronically or in printed form at entry.

Tickets obtained through an unauthorised seller or source may not be accepted.

Complimentary, sponsor, promotional and guest tickets issued directly by the Event Organiser are also considered valid tickets but may be subject to separate conditions.

2. Ticket Prices

The standard ticket price is $150 per person.

The Event Organiser may offer different prices from time to time, including early-bird, group, promotional, sponsor, supporter, family and friends, complimentary or other special offers.

Booking, transaction, credit-card or processing fees charged by the ticketing provider may apply separately.

3. Promotional Offers and Price Changes

Promotional offers may be introduced, changed, extended, limited or withdrawn by the Event Organiser, subject to applicable law.

Different guests may therefore purchase tickets at different prices.

The price applicable when a booking is completed is the price applicable to that booking.

If a lower price, discount or promotional offer becomes available after a ticket has already been purchased:

the previous booking will not be retrospectively repriced;
no refund or credit for the price difference will be provided solely because a later offer is cheaper;
promotional codes cannot be retrospectively applied to completed bookings;
promotional offers may have specific eligibility, quantity, expiry or booking requirements; and
offers cannot be combined unless expressly permitted.

A subsequent price reduction or promotional offer does not, by itself, provide grounds for a refund or cancellation.

Nothing in this section limits rights available under Australian Consumer Law.

4. Age Restriction and Identification

This is a strictly 18+ event.

Valid photo identification may be requested at entry or when purchasing or receiving alcoholic beverages.

A guest who cannot provide acceptable proof of age when requested may be refused entry or alcohol service.

5. Ticket Inclusions

Unless otherwise specified for a particular ticket or offer, admission includes:

Entry to Bollywood Sunset Social
DJ entertainment
Indian food and canapés
Buffet food service
Three-hour beverage package
Mehendi station
Dance area
Media wall and photo opportunities
Poolside event experience

Specific inclusions may be reasonably varied where operationally necessary.

6. Beverage Package

The three-hour beverage package applies only during the nominated service period determined by the venue.

The package may include selected beers, wines, soft drinks and non-alcoholic beverages. Beverage selections are determined by the venue and may be changed due to availability or operational requirements.

Guests arriving late are not entitled to an extension of the beverage package, refund, credit or compensation for the portion of the service period they missed.

Alcohol will be served in accordance with Queensland liquor licensing requirements and Responsible Service of Alcohol obligations.

The venue may refuse alcohol service to any person who is intoxicated, behaving inappropriately, unable to provide acceptable identification, or otherwise cannot lawfully be served.

7. Food, Buffet and Dietary Requirements

Food will primarily be provided through buffet and canapé service.

Guests cannot necessarily select individual meals or request customised dishes on the night.

Anyone with a food allergy, intolerance or dietary requirement should contact the Event Organiser before purchasing a ticket to determine whether suitable options may be available.

While reasonable care will be taken, the Event Organiser, venue and caterers cannot guarantee an allergen-free environment, separate preparation facilities, complete prevention of cross-contamination, or availability of individually customised meals.

Guests remain responsible for determining whether food is suitable for their individual dietary requirements.

8. Refund Policy

Refund requests must be submitted in writing to gopiocairns@gmail.com.

Subject to Australian Consumer Law:

More than 14 days before the event: eligible for a refund of the ticket price.
7–14 days before the event: eligible for a maximum refund of 50% of the ticket price.
Within 7 days of the event: no refund for change-of-mind or other circumstances where a refund is not otherwise required by law.

Booking, credit-card, transaction and processing fees may be non-refundable depending on the ticketing provider's terms.

Refunds will generally not be provided for change of mind, non-attendance, late arrival, transport or accommodation problems, failure to satisfy age or identification requirements, failure to follow venue rules, or removal due to intoxication or inappropriate behaviour.

Where illness or another circumstance gives rise to rights under applicable law, those rights are unaffected.

9. Promotional Price Differences

A guest is not entitled to a refund merely because another guest paid a lower ticket price.

This includes tickets subsequently sold under:

Flash sales
Group offers
Family and friends offers
Sponsor or supporter offers
Promotional codes
Last-minute offers
Complimentary promotions
Other limited campaigns

Purchasing earlier does not guarantee that the ticket purchased will be the lowest price subsequently offered.

10. Ticket Transfers

Ticket transfers may be permitted at the Event Organiser's discretion.

Requests should be made before the event and may require the original purchaser's name, booking details, replacement guest's full name and replacement guest's contact information.

The replacement guest must comply with all event conditions, including age requirements.

Transfers may be refused where insufficient notice or information is provided.

11. No Door Sales and Final Booking Cut-Off

Where advertised, there will be no door sales.

Guests must secure a valid ticket before online or authorised advance bookings close.

Reaching the venue without a valid ticket does not guarantee admission.

12. Event Timing and Late Arrival

The advertised event time is 6:00 PM to 10:00 PM.

Guests are encouraged to arrive on time to receive the full benefit of the event program, food service and beverage package.

Late arrival does not entitle a guest to an extension of event services, replacement services, credit, partial refund or compensation.

13. Event Changes

The Event Organiser may make reasonable operational changes to the event, including changes to:

Timings
Entertainment or DJ schedule
Food menu
Beverage selections
Activities
Venue layout
Seating or standing arrangements
Event inclusions

Reasonable changes that do not fundamentally alter the event do not automatically entitle ticket holders to a refund.

14. Cancellation, Postponement or Significant Change

If the event is cancelled, postponed or materially changed, ticket holders will be contacted using the information supplied with their booking.

Any refund, transfer, credit or rescheduling arrangements will be handled in accordance with applicable law and relevant ticketing-provider requirements.

Nothing in these Terms & Conditions excludes rights available under Australian Consumer Law.

15. Photography and Video

Photography and video recording may occur throughout the event for promotional, marketing, media, archival and community purposes.

By attending, guests acknowledge that they may appear incidentally in event photographs or recordings.

Guests who do not wish to be photographed should advise the Event Organiser or event photographer and reasonable efforts will be made to accommodate the request.

16. Behaviour and Right of Entry

The Event Organiser and venue reserve the right to refuse entry or require a guest to leave where reasonably necessary for safety, security, licensing or appropriate event management.

This may include guests who:

Are intoxicated
Behave aggressively, abusively or offensively
Harass guests, staff, volunteers, performers or suppliers
Create a safety risk
Damage property
Fail to follow reasonable venue or security instructions
Breach liquor licensing requirements
Enter restricted areas without permission

Where entry is refused or a guest is removed because of their conduct or failure to comply with lawful venue requirements, a refund will not ordinarily be provided.

17. Pool and Restricted Areas

The event is being held in a poolside environment.

Guests must comply with all venue instructions relating to the pool and surrounding areas.

Unless specifically authorised, guests must not enter restricted areas including kitchens, service areas, DJ/AV areas, staff-only areas or supplier workspaces.

Guests must exercise appropriate care around wet or slippery surfaces.

18. Personal Belongings

Guests are responsible for their own belongings.

To the extent permitted by law, the Event Organiser and venue are not responsible for personal property that is lost, stolen or damaged during the event.

19. Health and Safety

Guests must follow reasonable safety directions given by the Event Organiser, venue staff, security personnel and authorised suppliers.

Any hazard, accident, injury or safety concern should be reported to event or venue staff as soon as possible.

20. Liability

Guests attend and participate in the event subject to the ordinary risks associated with attending a hospitality and entertainment event.

To the extent permitted by law, the Event Organiser, venue, caterers, contractors, suppliers, staff and volunteers are not responsible for loss, injury, damage, delay or expense arising from circumstances outside their reasonable control.

Nothing in these Terms & Conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under Australian Consumer Law.

21. Event Communications

By purchasing a ticket, guests agree to receive information reasonably related to Bollywood Sunset Social from the Event Organiser using the contact details supplied with their booking.

This may include important information concerning entry, timing, venue arrangements, event changes or other operational matters.
