CANCELLATION, CREDIT, REFUND & EVENT POLICY

Please read this policy carefully before booking.

By purchasing a ticket or booking a She Rides event, experience or activity, you acknowledge that you have read, understood and agreed to the following Cancellation, Credit, Refund & Event Policy.

1. ALL BOOKINGS ARE FINAL
All She Rides bookings are considered confirmed once payment has been received.
Due to the limited number of places available at She Rides events and the advance commitments involved in securing horses, venues, instructors, guides, staff and third-party Operators, all participant-initiated cancellations are non-refundable.
She Rides does not provide cash refunds for participant-initiated cancellations.

2. 72-HOUR CANCELLATION REQUIREMENT
If you are unable to attend your booked event and wish to be considered for an event credit, you must notify She Rides at least 72 hours before the scheduled event start time.
Cancellations made less than 72 hours before the scheduled event start time are not eligible for a refund, credit, transfer or rescheduling, regardless of the reason for cancellation.
Providing a medical certificate does not override the 72-hour notice requirement.

3. CREDITS — HEALTH OR MEDICAL REASONS ONLY
She Rides event credits are not guaranteed and are subject to the cancellation and credit terms of the relevant venue, facility, riding centre or third-party Operator providing the experience.
Some facilities and Operators have strict booking conditions and do not provide credits, transfers or rescheduling for participant cancellations.
Where the relevant facility or Operator does not provide She Rides with a credit, transfer or replacement booking, She Rides will not be able to provide the participant with a credit for that booking.
Where the relevant facility or Operator permits credits, a participant may only be eligible for a She Rides event credit where ALL of the following conditions are satisfied:
* She Rides is notified at least 72 hours before the scheduled event start time;
* the cancellation is due to a genuine health or medical reason;
* a valid medical certificate is provided confirming that the participant is medically unable or unfit to participate; and
* the relevant facility or third-party Operator permits the booking to be credited, transferred or rescheduled.
Providing 72 hours' notice and a medical certificate does not guarantee that a credit will be available.
Where the relevant facility or Operator's cancellation policy is stricter than the standard She Rides policy, the facility or Operator's applicable cancellation conditions will apply to that booking.
Event-specific cancellation and credit conditions may therefore vary between She Rides events.

4. MEDICAL CERTIFICATE REQUIREMENTS
Where medical credits are permitted by the relevant facility or Operator, the medical certificate must:
* relate to the participant named on the booking;
* relate to the medical circumstances preventing participation;
* cover or reasonably relate to the relevant event period; and
* be issued by an appropriately qualified health practitioner.
A medical certificate does not entitle a participant to a cash refund.
Where eligible and available, a She Rides event credit only will be provided.

5. CREDIT CONDITIONS
Where a credit is available and approved:
* the credit may only be used toward an eligible future She Rides event or experience;
* the credit is subject to availability;
* the credit does not guarantee a place at any particular future event;
* the credit may be restricted to the same facility or Operator where required;
* the credit is subject to any expiry date or restrictions imposed by the relevant facility or Operator;
* where no Operator-specific expiry applies, the credit must be redeemed within 6 months of the original event date;
* the credit has no cash value;
* the credit cannot be exchanged or redeemed for cash;
* where the replacement event costs more, the participant must pay the difference;
* where the replacement event costs less, the difference will not be refunded in cash; and
* unless otherwise approved, credits are issued to the original participant and are not transferable.
Credit expiry dates will not ordinarily be extended.

6. NON-MEDICAL CANCELLATIONS
Refunds and credits are not available for participant cancellations due to non-medical reasons.
This includes, but is not limited to:
* change of mind;
* work commitments;
* family or social commitments;
* personal appointments;
* scheduling conflicts;
* double bookings;
* forgetting the event;
* inability to arrange childcare;
* inability to arrange transport;
* vehicle breakdown or car trouble;
* traffic or travel delays;
* changes to personal plans;
* deciding you no longer wish to participate;
* nervousness or change of mind regarding horse riding;
* choosing not to attend because of weather where the event is proceeding;
* late arrival; or
* failure to attend.

7. LATE ARRIVALS
Participants are responsible for arriving by the arrival/check-in time communicated by She Rides, which may be earlier than the scheduled riding or activity start time.
Horse riding experiences operate according to strict schedules and may involve horse preparation, safety briefings, rider allocation, equipment fitting and group departures.
She Rides and/or the relevant Operator is not required to delay an event, ride or group departure for a late participant.
If you arrive late and She Rides or the Operator determines that you can no longer safely or practically participate, your booking will be treated as a missed booking.
Late arrivals resulting in missed participation are not eligible for a refund, credit, transfer or rescheduling.

8. NO-SHOWS
A participant who fails to attend an event without the required notice will be considered a no-show.
No-shows forfeit their booking.
No refund, credit, transfer, rescheduling or alternative event will be provided for a no-show.

9. WEATHER & PARTICIPANT CANCELLATIONS DUE TO WEATHER

She Rides experiences are outdoor activities and may proceed in varying weather conditions, including rain, cold, heat, wind, cloudy conditions, mud or other weather and environmental conditions considered suitable for the activity by She Rides and/or the relevant facility or Operator.

The decision as to whether an event will proceed due to weather conditions is made by She Rides in consultation with, or based on the advice and decision of, the relevant facility or Operator.

If She Rides and the relevant facility or Operator confirm that the event is proceeding, a participant's personal decision not to attend because of:

* rain or forecast rain;
* cold or hot weather;
* wind;
* mud or wet conditions;
* the participant's interpretation of the weather forecast;
* concerns about predicted weather;
* a personal preference not to ride in particular weather conditions; or
* any other weather-related personal preference or concern

will be treated as a **participant-initiated cancellation**.

In these circumstances, the participant is not entitled to a refund, credit, transfer, rescheduling or replacement booking on the basis of weather.

This applies even where the participant personally considers the weather to be unsuitable, uncomfortable or undesirable, provided She Rides and/or the relevant facility or Operator have determined that the event is proceeding.

Participants should not assume that an event has been cancelled or postponed based on weather forecasts, weather apps, social media, news reports or their own assessment of conditions.

Unless She Rides directly advises participants that an event has been cancelled, postponed or rescheduled, participants should assume that the event is proceeding as scheduled.

Participants are responsible for checking expected conditions and dressing appropriately for an outdoor equestrian activity.

Where She Rides and/or the relevant facility or Operator determines that weather or environmental conditions make the event unsafe or impracticable, She Rides may cancel, postpone, reschedule, relocate or modify the event.

Any arrangements resulting from a weather-related cancellation or postponement made by She Rides or the relevant facility/Operator will be communicated directly to affected participants.

10. EXTREME WEATHER & UNSAFE CONDITIONS
The safety of participants, staff and horses takes priority.
An event may be modified, postponed, relocated, rescheduled or cancelled due to circumstances including:
* extreme heat;
* severe storms;
* lightning;
* strong or dangerous winds;
* flooding;
* bushfire or elevated fire danger;
* unsafe trail conditions;
* fallen trees or branches;
* unsafe road access;
* hazardous environmental conditions;
* emergency warnings; or
* any other circumstance considered to present an unreasonable risk to participants, horses, staff or the public.
The decision as to whether an event can safely proceed may be made by She Rides, the property owner, facility, trail riding Operator, instructor, guide or another responsible service provider.

11. POSTPONED OR RESCHEDULED EVENTS
Where an event cannot safely or practically proceed on its original date, She Rides may postpone or reschedule the event.
Where an event is postponed or rescheduled, existing bookings will ordinarily be transferred to the replacement date or another appropriate arrangement may be offered.
She Rides will communicate revised arrangements to affected participants as soon as reasonably practicable.
If a participant cannot attend the replacement date, the options available will depend on the circumstances and the arrangements and cancellation conditions of the relevant facility or third-party Operator.
Being unavailable for a replacement date does not automatically entitle a participant to a cash refund.

12. CANCELLATION BY SHE RIDES
She Rides reserves the right to cancel, postpone, relocate, reschedule or modify an event where reasonably necessary.
This may occur due to:
* unsafe or extreme weather;
* bushfire risk;
* flooding;
* storms or lightning;
* unsafe trail or property conditions;
* horse illness or injury;
* horse welfare concerns;
* insufficient suitable or safe horses;
* venue or trail closure;
* instructor or guide illness or unavailability;
* Operator cancellation or unavailability;
* property owner requirements;
* equipment or facility issues;
* emergency circumstances;
* government restrictions or directions;
* circumstances outside She Rides' reasonable control; or
* any other circumstance that makes the event unsafe or impracticable to conduct.
Where She Rides cancels an event, She Rides will communicate the available replacement, rescheduling, credit or other arrangements to affected participants.

13. EVENT CHANGES
Horse riding is an animal-based outdoor activity and circumstances may change unexpectedly.
She Rides and/or the relevant Operator may reasonably change:
* horses;
* horse allocations;
* instructors;
* guides;
* riding routes;
* trails;
* riding order;
* start or finish times;
* activity duration;
* activity structure;
* venue areas;
* meeting locations; or
* other operational elements of an event.
Changes may be made for safety, horse welfare, weather, operational or logistical reasons.
Reasonable changes to an event do not automatically constitute cancellation and do not automatically entitle a participant to a refund or credit.

14. THIRD-PARTY OPERATORS & FACILITIES
She Rides events may be organised or facilitated in conjunction with independent third-party businesses, including:
* trail riding Operators;
* equestrian facilities;
* riding centres;
* horse owners;
* instructors;
* trainers;
* guides;
* venues; and
* property owners.
She Rides may therefore be affected by decisions and circumstances outside its direct control.
This may include:
* Operator cancellations;
* facility policies;
* horse availability;
* horse illness or injury;
* venue availability;
* staff availability;
* trail closures;
* safety decisions;
* weather-related decisions; or
* changes to operating conditions.
Each facility or Operator may have different cancellation, transfer and credit conditions.
Some facilities do not provide credits or transfers at all.
Participants acknowledge that the conditions of the relevant facility or Operator may therefore affect what options She Rides is able to provide following a participant cancellation.

15. BOOKING & THIRD-PARTY PROCESSING FEES
Bookings may be processed through TryBooking or another third-party booking or payment provider.
Booking fees, transaction fees, card processing fees and other third-party charges may be separately imposed or retained by those providers.
Third-party fees that have already been charged, retained or are otherwise non-recoverable are not included in She Rides event credits.

16. TICKET TRANSFERS
Ticket transfers are not automatically available.
A participant wishing to transfer their booking to another person must contact She Rides before the event and receive approval.
A replacement participant must:
* satisfy applicable age, weight, experience or participation requirements;
* provide all information reasonably required by She Rides or the Operator;
* complete the required participant waiver and documentation; and
* comply with all safety requirements.
A transfer may also be subject to the relevant facility or Operator's booking conditions.
A ticket transfer is not guaranteed.
Participants may not independently sell, transfer or assign a booking without approval from She Rides.

17. REMOVAL OR REFUSAL OF PARTICIPATION
She Rides and/or the relevant Operator reserves the right to refuse, discontinue or terminate a person's participation where reasonably necessary for safety, horse welfare or the proper operation of the event.
This may include where a participant:
* appears intoxicated or materially impaired;
* is under the influence of alcohol or drugs;
* refuses to follow reasonable safety instructions;
* behaves dangerously or recklessly;
* behaves aggressively, abusively or disruptively;
* deliberately frightens, strikes, harms, provokes or mistreats a horse;
* materially misrepresents their riding experience or ability;
* fails to disclose information reasonably relevant to safe participation;
* uses equipment in an unsafe manner;
* places themselves, another participant, staff member, horse or member of the public at unreasonable risk; or
* otherwise fails to comply with reasonable event or venue requirements.
Where participation is refused or terminated because of the participant's conduct, impairment, failure to follow instructions or failure to satisfy reasonable safety requirements, no refund, credit, transfer or replacement event will be provided.

18. MEDICAL OR SAFETY REFUSAL ON THE DAY
She Rides and/or the relevant Operator may determine that a participant should not participate or continue participating where there are reasonable concerns regarding their health, physical capacity or safety.
Participants are responsible for accurately disclosing relevant information before participation.
Where participation cannot proceed because relevant information was withheld, misrepresented or not disclosed when reasonably requested, no refund or credit will be provided.

19. FAILURE TO MEET PARTICIPATION REQUIREMENTS
Where an event has communicated participation requirements — including age, weight, clothing, footwear, equipment, riding ability or other reasonable safety requirements — participants are responsible for ensuring that they satisfy those requirements before attending.
If a participant is unable to participate because they do not satisfy a clearly communicated requirement, no refund, credit, transfer or replacement booking will be provided.

20. TRANSPORT & CARPOOLING
Unless expressly included as part of the purchased service, participants are responsible for arranging their own transport to and from the event.
Failure to arrange transport, vehicle breakdown, traffic, public transport disruption or carpool cancellation does not entitle a participant to a refund or credit.
Where participants independently arrange to travel together or carpool, those arrangements are between the relevant participants unless She Rides expressly states otherwise.

21. PERSONAL & UNEXPECTED CIRCUMSTANCES
She Rides understands that unexpected circumstances can arise.
However, places at She Rides experiences are limited and bookings may involve non-refundable advance payments and commitments to facilities and Operators.
Except for an eligible health-related cancellation that satisfies the 72-hour notice, medical certificate and relevant facility/Operator requirements, personal circumstances do not qualify for a credit.

22. EXCEPTIONAL CIRCUMSTANCES
She Rides reserves the right, at its sole discretion, to consider exceptional circumstances on a case-by-case basis.
Any discretionary credit, transfer, extension or goodwill arrangement offered by She Rides:
* is not guaranteed;
* does not create an entitlement;
* does not alter this policy generally; and
* does not establish a precedent requiring She Rides to provide the same arrangement in another situation.

23. COMMUNICATION OF CANCELLATIONS
Participants are responsible for contacting She Rides directly regarding a cancellation.
A cancellation is not considered received merely because a participant has:
* told another attendee;
* contacted the riding venue instead of She Rides;
* posted or commented on social media; or
* attempted contact through an unofficial communication channel.
Participants must use the official contact method provided in their booking confirmation or event communications.
The time at which She Rides receives the cancellation will be used to determine whether the required 72 hours' noticehas been provided.

BOOKING ACKNOWLEDGEMENT
By completing payment and confirming your booking, you acknowledge and agree that:
* all participant-initiated bookings are non-refundable;
* credits are not guaranteed;
* some facilities and Operators do not offer credits or transfers;
* where credits are permitted, they are available only for eligible health or medical cancellations;
* a health-related credit requires at least 72 hours' notice AND a valid medical certificate;
* the relevant facility or Operator must also permit the booking to be credited, transferred or rescheduled;
* cancellations within 72 hours are not eligible for a credit;
* no-shows and late arrivals are not eligible for refunds or credits;
* events may proceed in reasonable weather conditions;
* events may be modified, postponed, relocated, rescheduled or cancelled for safety, weather, horse welfare or operational reasons;
* third-party Operators and facilities may have their own booking conditions; and
* event-specific cancellation and credit conditions may vary.
By completing your booking, you confirm that you have read, understood and agreed to this policy and the event-specific conditions provided at the time of booking.
