School Holiday Tennis Clinics – Participant Guidelines & Terms and Conditions

To ensure a safe, enjoyable, and positive experience for everyone, please read the following guidelines carefully. These terms apply to both Junior and Adult School Holiday Tennis Clinics.

1. Arrival & Departure
Please arrive 5–10 minutes before your session for check-in and preparation.
Junior participants must be signed in and out by a parent/guardian inside the designated tennis court area.
Children must remain within the designated program area and may not leave without a supervising adult.
Coaches must be informed if a child is being collected by an adult who was not listed during registration.
Adult participants are responsible for arriving on time and following coaching staff instructions.
2. What to Bring
Tennis racquet, if available. Equipment may also be provided by the academy.
Hat and sunscreen.
Drink bottle.
Comfortable sports clothing.
Appropriate non-marking tennis or sports shoes. Studded shoes are not permitted.
3. Safety & Behaviour
All participants must listen to coaches and follow instructions at all times.
Respectful behaviour towards coaches, staff, and other participants is expected.
Bullying, harassment, aggressive, or unsafe behaviour will not be tolerated.
Coaches may remove a participant from an activity if their behaviour creates a safety risk.
Junior participants must wear the safety vest provided on arrival for the duration of the session.
4. Sun Safety & Hydration
Hats should be worn during outdoor activities.
Please apply sunscreen before arriving. Additional sunscreen may be available for reapplication.
Regular water breaks will be provided.
Participants should bring sufficient water and stay hydrated throughout the session.
5. Medical Needs, Injuries & Allergies
Parents/guardians must inform the academy of any relevant medical conditions, allergies, or medications for junior participants before the program begins.
Adult participants should inform the coach of any medical condition or injury that may affect their participation.
Any required medication for a child must be clearly labelled and accompanied by appropriate instructions.
For sickness or injury resulting in a missed lesson, a medical certificate may be required to qualify for a make-up token.
6. Equipment & Personal Belongings
Participants are responsible for their own belongings and equipment.
The academy and coaches are not responsible for lost, stolen, or damaged personal items.
Please clearly label all belongings, particularly items belonging to junior participants.
7. Missed Lessons, Make-Up Tokens & Credits
No refunds will be provided for missed clinic sessions.
To be eligible for a make-up token, participants must notify academy administration at least 24 hours before the scheduled lesson.
A medical certificate may be requested for absences due to sickness or injury.
If a make-up token is issued, it may only be used for an available Term 3 School Holiday Clinic session up to and including 10 October 2026.
Make-up sessions and credits are subject to academy availability and applicable terms.
8. Weather, Program Changes & Cancellations
If a session needs to be cancelled due to weather, the coach will notify participants by SMS and/or email at least 45 minutes before the scheduled session, where possible.
HotShots classes will proceed regardless of weather, as mini nets can be set up in the clubhouse indoor facilities.
Sessions may be rescheduled or cancelled due to severe weather or unforeseen circumstances.
Where a session is cancelled by the academy, participants will be advised of the applicable make-up arrangements.
Parents/guardians and adult participants will be notified by email or phone of any significant program changes.
9. Participant Responsibility

By registering for a School Holiday Tennis Clinic, participants or their parent/guardian acknowledge that they have read, understood, and agreed to follow these guidelines and the academy's applicable policies.

The academy reserves the right to make reasonable changes to the program, coaching arrangements, or session format where required for safety, operational, or weather-related reasons.

TryBooking is an online system for organisations and community groups that has been designed to look after the entire event ticketing and registration needs.
