articipant Guidelines & Terms and Conditions

Please read the following guidelines carefully. They apply to all Junior and Adult School Holiday Tennis Clinics.

1. Arrival & Departure
Arrive 5–10 minutes before your session.
Junior participants must be signed in and out by a parent/guardian inside the designated court area.
Children must remain within the program area and may not leave without a supervising adult.
Coaches must be informed if a child is collected by an alternative adult.
Adults are responsible for arriving on time and following coach instructions.
2. What to Bring
Tennis racquet, if available. Equipment may be provided by the academy.
Hat, sunscreen and drink bottle.
Comfortable sports clothing.
Non-marking tennis or sports shoes. Studded shoes are not permitted.
3. Safety & Behaviour
Participants must follow coach instructions and treat coaches, staff and other participants respectfully.
Bullying, harassment, aggressive or unsafe behaviour is not permitted.
Coaches may remove a participant from an activity if their behaviour creates a safety risk.
Junior participants must wear the safety vest provided for the duration of the session.
4. Sun Safety & Hydration
Hats should be worn during outdoor activities.
Apply sunscreen before arriving and reapply as needed.
Regular water breaks will be provided. Participants should bring sufficient water.
5. Medical Needs, Injuries & Allergies
Parents/guardians must advise the academy of relevant medical conditions, allergies or medications before the program.
Adults should advise the coach of any medical condition or injury affecting participation.
Children's medication must be clearly labelled with appropriate instructions.
A medical certificate may be required for sickness or injury-related make-up requests.
6. Personal Belongings
Participants are responsible for their own belongings and equipment.
The academy and coaches are not responsible for lost, stolen or damaged items.
Please clearly label all belongings.
7. Missed Lessons & Make-Up Tokens
No refunds are provided for missed sessions.
To be eligible for a make-up token, the academy must be notified at least 24 hours before the session.
A medical certificate may be requested for sickness or injury.
Make-up tokens, if issued, may only be used for available Term 3 School Holiday Clinic sessions up to 10 October 2026.
Make-up sessions are subject to availability and academy terms.
8. Weather & Cancellations
If a session is cancelled due to weather, participants will be notified by SMS and/or email at least 45 minutes before the session where possible.
HotShots classes will proceed regardless of weather, using mini nets in the clubhouse indoor facilities.
Sessions may be rescheduled or cancelled due to severe weather or unforeseen circumstances.
Where the academy cancels a session, participants will be advised of the applicable make-up arrangements.
9. Participant Responsibility

By registering, participants or their parent/guardian acknowledge that they have read and agreed to these guidelines and the academy's applicable policies.

The academy reserves the right to make reasonable changes to coaching arrangements, session formats or programs for safety, operational or weather-related reasons.
