Age Requirements
- Participants must be aged between 12 and 17 years at the time of the event.
- Proof of age may be required upon entry.
Parent/Guardian Consent
- By registering, it is assumed that participants under the age of 18 have obtained permission from a parent or guardian to attend the Halloween Youth Disco.
Registration
- The Halloween Youth Disco is a free event, but advance registration is required.
- Registrations are accepted on a first-come, first-served basis and spaces are limited.
- Places will not be held without a completed registration.
- Registrations are non-transferable.
Entry and Pass-Outs
- Participants must check in with event staff upon arrival.
- The event operates under a no pass-out policy. Once a participant leaves the event, they will not be permitted to re-enter unless approved by event staff due to exceptional circumstances.
Code of Conduct
-Participants are expected to behave respectfully and responsibly towards other attendees, staff, contractors and venue representatives.
- Bullying, harassment, violence, threatening behaviour or deliberate disruption will not be tolerated and may result in removal from the event.
- Participants must follow reasonable instructions from event staff, security and venue personnel at all times.
Drug, Alcohol, Smoking and Vaping
The Halloween Youth Disco is a drug, alcohol, smoke and vape-free event.
Participants found in possession of or using prohibited substances, alcohol, cigarettes or vaping products may be refused entry or removed from the event.
Health and Safety
- Any relevant medical conditions, allergies, accessibility requirements or additional support needs should be advised during registration.
- In the event of an emergency, staff will use the emergency contact and medical information provided during registration where required.
- A designated first aid officer will be available at the event.
Costumes and Props
- Costumes are encouraged; however, they must be safe and appropriate for a youth event.
- Costume props or accessories that could reasonably be considered dangerous, used as a weapon or create a safety risk may not be permitted into the venue.
- Event staff reserve the right to request that unsafe costume items or props are removed.
Liability
- Event organisers will take reasonable steps to provide a safe environment. However, organisers are not responsible for personal injury, loss or damage to personal property except where liability cannot lawfully be excluded.
- Participants are responsible for their own personal belongings during the event.
Photography and Media
- Photography and filming may take place during the Halloween Youth Disco for Campaspe Shire Council promotional and communication purposes.
- Participants who do not wish to be photographed or filmed should advise event staff. Reasonable efforts will be made to respect these requests.

Event Changes
- Campaspe Shire Council reserves the right to change the event date, time, location, activities or program where necessary.
- Registered participants will be notified as soon as reasonably possible if significant changes occur.
- Council may cancel or postpone the event due to circumstances including safety concerns, venue issues, severe weather or other circumstances outside its reasonable control.
Accessibility and Inclusion
- The Halloween Youth Disco is committed to providing a safe, inclusive and accessible event for young people.
- Participants are encouraged to advise Council of any accessibility requirements or additional support needs during registration so reasonable arrangements can be considered.
Privacy
- Personal information provided through registration will be collected and used for the purpose of administering and delivering the event.
- Information may be shared with relevant third parties where reasonably required for event delivery, safety or emergency response.
- Personal information will be handled in accordance with the **Privacy and Data Protection Act 2014 (Vic)** and Campaspe Shire Council’s Privacy and Data Protection Policy.
Governing Law
- These terms and conditions are governed by the laws of the State of Victoria.
