Terms and Conditions  −  PLODs Camp Out 2026

If a parent or caregiver cannot attend, or a child does not have a father or father figure, they may enter an agreement with a family friend to take duty of care – this agreement is between the family and the friend and is not the responsibility of the P&C or school.

By attending the PLODs Camp Out 2026 at Poynter Primary School, I acknowledge and understand that:
1. This activity is organised and conducted by the Poynter Primary School Parents and Citizens’ (P&C) Association and is not a school‑run activity, excursion or incursion. The school will not be involved in any child or parental disagreements and is not providing any Department of Education employees for the event.
2. The P&C has appointed an Event Coordinator and volunteers for event coordination and site communication only, not for the supervision of children. I (as the parent / caregiver) or my nominated caregiver will attend this event with my children and remain responsible for the supervision, behaviour, safety and immediate care of my children at all times, including overnight.
3. If we have insufficient volunteers for the event, the event may not go ahead. We encourage all participants to help if they can.
4. The event may be cancelled or modified if there are unsafe or other unforeseen conditions.
5. In addition to myself or my nominated caregiver, only my children who are currently enrolled at Poynter Primary School will attend the event.
6. I am responsible for:
• Managing my children’s medical needs, including medications and medical action plans
• Ensuring my children wear appropriate clothing and footwear for the weather and conditions
• Ensuring my children have adequate torches or head lamps for moving around at night e.g. to the toilets
• Supervising my children around camping equipment, cooking areas, and shared facilities
• Ensuring that my children are appropriately supervised when accessing toilets and that no one will use any shower facilities
• Ensuring that I locate my tent in a safe location e.g. not under trees, not near any ant nests
• Ensuring that I remain aware of me and my families surroundings – I am empowered to stop any unsafe activities
• Ensuring my children access only approved areas (during the day these are limited to the oval, playgrounds, basketball courts, toilets, undercover (assembly) area; during the night these are limited to the oval and toilets, except for the undercover area during the movie)
• Disposing of all my waste, including taking it off site if there is no space left in the bins on site
• Ensuring any damage is reported to the Event Coordinator
7. If bringing a vehicle, then ensuring the safety of all attendees at all times and removing the vehicle from the oval when instructed to do so.
8. If I see abnormal or unsafe behaviour, I will speak up and/or seek assistance from other attendees or the Event Coordinator.
9. I will not:
• Park on any neighbouring property verge or driveway unless I have their express permission
• Build any open fires
• Leave BBQs or camp stoves unattended if they have a hot surface
• Smoke, vape or consume any prohibited substances on site
• Bring glass food or drink containers on site
• Bring any animals on site
10. Alcohol consumption is discouraged. However, if alcohol is consumed, drinking must be responsible and take into account the nature of the event, providing duty of care and the need to remain able to respond to an emergency. A practical guideline is a maximum of four beers (or equivalent) per adult for the duration of the event. I accept responsibility for ensuring any alcohol brought to the event is supervised, stored securely and disposed of safely. Irresponsible drinking may result in myself being asked to leave and/or banned from future events.
11. In the event of an emergency, I agree that emergency services (000) may be called on my behalf.
12. I agree to comply with all event rules and safety directions communicated by the Event Coordinator and volunteers for the purpose of maintaining a safe environment for all attendees.
13. If I or my children do not follow the above terms and conditions, my family may be requested to leave the event and I will comply with this request without causing harm or disruption to other attendees enjoyment. My emergency contact may also be called if this was to occur.

Not adhering to these terms and conditions may result in being prohibited from attending future P&C and PLODs events.
