2026 Winter Events at the Bogong Rover Chalet
Bookings open 1st February at 6am for Victorian Rover bookings.
The booking procedure has changed for 2026. A two stage process is being used to make Trybooking quicker, and to give you time to answer the more detailed questions.
- Stage 1: Book a ticket using Trybooking. You will receive an email with the subject 'Bogong Rover Chalet Booking' within a few minutes.
- Stage 2: Use the provided link in the email for the second stage booking form. Filling in your details will take 5-10 minutes. Please do this as soon as possible. If you don't complete this, your booking will be cancelled.
*If you can't see the week you are looking for, it's because it's booked out. You can go on the waiting lists but they may already be long so perhaps you should book another week to guarantee your Bogong experience.

Ski hire is from Ajays in Heathmont, hirers must attend Ajays for fitting and collection.
Winter Parties (Open Weeks) and Rover Ski Moots:
One week can be booked per person until 9 February 2026. Bookings open at 6am on each day.
30 January 2026 - Bookings Open for Service Priority*
1 February 2026 - Bookings Open for Victorian Rovers
4 February 2026 - Bookings Open for All Rovers
7 February 2026 - Bookings Open for Everyone
9 February 2026 - Multiple & additional bookings are allowed
1 March 2026 - Bookings open for all Snow Ventures.
Open Weeks are for anyone 18+ (excluding 18 year old Venturers).

Briefing Nights:
We run compulsory briefing nights for all Winter Party attendees, and all attendees must attend one of the following to be able to attend their Winter Party. These are not for Snow Venture participants, who have their own briefing nights. Failure to attend will be subject to the refund conditions.
Sunday 17 May 4-6pm Clifton Hill area.
Thursday 28 May 7:30pm-9:30pm Oakleigh area.
Tuesday 2 June 7:30pm-9pm Online, requires watching a video prior.
Participants who have been to the Chalet previously can arrive 30 minutes after the listed time.
For bookings that occur after the 2 June, alternative arrangements will be made.
Early Bird Bookings:
Early Bird Rates are available until 31 March 2026.
*Service Priority Bookings:
Anyone who has participated in a working bee from 1 October 2024 to 29 January 2026 can book any eligible winter party from 30 January 2026.
Individuals who were NOBS or Snow Venture Leaders in 2025 are eligible for priority booking in 2026.
An email will be sent to all eligible people by 28 January 2026 with a special booking link.
Other groups of people may be eligible at the discretion of BCMG.
Snow Ventures:
Bookings open for all Victorian Snow Ventures on 1 March 2026.
South Australia Snow Ventures operate a separate bookings system. See their website for details https://qstore.sa.scouts.com.au/outdooradventure/alpine/
There is no early bird pricing for Snow Ventures.
Each Venturer can only book into a single week until 9 March, after which they may book into additional weeks. This is to ensure more Venturers get the opportunity to attend.
The BCMG limits youth and leader numbers to ensure a safe youth to leader ratio.
Leaders who wish to attend must complete an EOI application, which closes on 24 February 2026. Successful applicants will be asked to book prior to 1 March 2026.
General conditions:
All applications are subject to approval by the Bogong Rover Chalet Wardens.
You understand that the Chalet is a communally run environment. Sleeping arrangements are communal in nature (i.e. mixed gender) and all participants contribute to the chores required.

Week 0 Training Week is for Rovers and adult members who have previously attended at least 1 Winter Party. Training will include NOBS training, OAS Alpine, snow camping and Trained Participant - Cross Country.
* Open to Rovers and recent ex-Rovers (< 30 years old).
Booking Requirements:
Have the following information at hand when you make your booking:
- Name of the participant
- Telephone number of the participant
- Email address of the participant
At the time of booking, you and the participant must agree to the terms and conditions outlined in this document.
After booking you will receive an email with a personalized link to a form that MUST be completed within 14 days of booking.
If not completed, you will be seen as withdrawing from the week. You will receive a partial refund as per the refund policy.

By making your booking you accept the following:
All participants must provide two completed Personal Information Record (PIR) at the start of the winter party. PIR downloaded from the Scouts Victoria website.
Asthma Relievers & Adrenaline Autoinjectors:
Any participants who require Asthma Relievers and/or Adrenaline Autoinjectors must present them to a NOB before the commencement of the week. If not presented, you will be unable to take part in the winter party.
Tickets:
By booking a ticket under a given ticket category, you must be a member of that category at the time of the event. If you do not remain a member of the category, you will be responsible for paying any increased costs.
Privacy Notice:
You agree to us collecting personal and sensitive data for the purposes disclosed in the Scouts Victoria Privacy Policy. In the case of a youth member, you acknowledge a similar understanding and agreement in your capacity as the parent or guardian of that member. Individuals have the right to access any personal information which Scouts Victoria holds about them and advise Scouts Victoria of any perceived inaccuracy. Any enquiries, complaints and requests for access can be made to the address listed in the Privacy Policy.
I acknowledge that I have read this Privacy Notice and I hereby reaffirm my understanding of the Branch Privacy Policy and my continuing agreement to the collection of personal and sensitive data for the purposes disclosed in that Policy.
Digital Media:
Please note any photos taken at Chalet events may be shared publicly or used for promotional material. If, for any reason, you do not wish to give consent to your child’s or your own image being used on social media or in promotional material please email bookings@bogongroverchalet.org.au and ensure that the leaders in your group are aware of this. Additionally ensure that anyone taking photos is aware, as it is very easy to take and share.
Insurance Note:
The Chalet only provides minimal personal property insurance. Participants to winter parties should ensure that they have the appropriate level of insurance for their personal property through their home and contents insurance, or travel insurance.
The BCMG recommends that all attendees hold a current ambulance service membership. Private health insurance does not always cover the full cost of ambulance transport.
Falls Creek Medical Centre is a private health care provider. Out of pocket expenses may apply if you are treated at Falls Creek, even in a medical emergency.
Waiting Lists:
These will be available for all Winter Parties. When a week books out, we start a waiting list. Participants on the waiting list will be contacted in order of application as spaces become available. Guarantee your booking by attending a week which has space, but if you can't, we advise joining the waiting list as we often have spaces opening up - e.g. spaces that may have been reserved for Nobs (attendees who have done training and are there to help facilitate the week) that are filled from existing participants, or the waiting list. To join the waiting list, send an email to bookings@bogongroverchalet.org.au indicating which week you want.
Damage:
You may be liable for the cost of damage incurred to chalet equipment/property if you fail to disclose relevant information to the Wardens, Maintenance, or Bookings Office; or were negligent; or wilfully caused damage.
Refund Terms & Conditions:
Refunds must be applied for in writing addressed to the Bogong Bookings Team.
For the purpose of refunds, the Winter Party starts on the Friday evening at 7pm.
Please contact the bookings officer as soon as you discover you may not be able to go to your winter party to discuss the issue.
There may be a waiting list, so substitution of another person is not permitted.
Withdrawals received more than 30 days prior to the winter party will receive a 90% refund.
Withdrawals received less than 30 days prior to the winter party will incur a $100 penalty.
Withdrawals received less than 5 days before the start of the Winter Party will receive no refund.
Withdrawals with a medical certificate received before 7pm on the Wednesday prior (i.e. more than 48 hours prior) to your Winter Party will receive a full refund.
Withdrawals with a medical certificate received after 7pm on the Wednesday prior (i.e. less than 48 hours prior) to the commencement of your Winter Party will receive a full refund less $150.
Medical certificates for withdrawals will require a doctor to declare you unfit to attend the ski week.
For Snow Ventures we will fully refund Ski Hire and apply the normal refund policy to the booking. Transport refund will be determined on a case by case basis.
In the event of failure to attend the commencement of your winter party, withdrawal during your winter party because of evacuation due to illness or injury, or failure to present required medications, there will be no refund available.
The BCMG reserves the right to determine refunds on a case by case basis.
